General Statement of Duties:
The Wealth Client Associate within the Wealth Management team at Ledyard Financial Advisors, is primarily responsible for delivering exceptional client service by providing comprehensive administrative support for one or more Financial Advisors. This position ensures every client interaction is handled with precision, professionalism, and exceptional attention to detail. Responsibilities include preparing client-facing documents, managing communications, coordinating complex account activities, and maintaining accurate records — all with the goal of anticipating client needs and exceeding expectations. The Wealth Client Associate serves as a key client-facing representative of Ledyard, consistently upholding the highest standards of service and discretion.
Essential Functions:
The following responsibilities are carried out with a commitment to delivering seamless, high-touch support and elevating the client experience at every stage.
- Prepare documents for client signatures and internal paperwork to open new accounts and maintain existing accounts, ensuring accuracy, compliance, and a seamless client experience.
- Serves as a first point of contact for clients and advisors by answering calls professionally, routing appropriately, and following through to ensure timely resolution of inquiries.
- Completes a wide range of word processing and spreadsheet tasks, including correspondence, reports, tables, and agreements that require a high level of proficiency and knowledge of accepted formatting principles.
- Prepare for and may attend client meetings, take, assemble, and transcribe notes related to action items, and decisions made during appointments. Monitor and follow u with all action items from client conversations and meetings.
- Drafts written communication for Financial Advisors. Corrects, edits, and provides punctuation as necessary to ensure that the final copy conveys the intended meaning and is correct in detail.
- Understands basic facets of investments: this includes income and dividends, bond maturities, trade settlement, corporate actions, and cash management. Understands client statements and basic resolution of day-to-day operational items.
- Frequent contact with clients, employees, auditors, client advisors such as CPA’s and attorneys, visitors, and vendors, maintaining positive relationships. Exercises tact, confidentiality, judgment, initiative, and knowledge of functional areas to respond appropriately.
- Assists with estate and trust settlement processes, including preparation of estate valuation documents and workflow management.
- Coordinates and schedules client appointments, prepares pre-meeting materials, and sends meeting confirmations.
- Proactively responds to client inquiries and handles requests with professionalism, urgency, and care to ensure an exceptional client experience. Assists with workshops, seminars, and client educational events.
- Assisis Financial Advisors with day-to-day activities, assist in reviewing tax information during tax season, may do special projects and perform other duties as assigned.
- Establishes, maintains and revises filing and record keeping system for multiple functions. Collect and prepare data as needed for various reporting and/or auditing requirements.
- Receives, opens, and sorts incoming mail. May screen routine inquiries and prepare responses of a factual nature. Assists with answering phones and any coverage situations when needed.
- Monitors incoming assets for new accounts and additions. Assists with obtaining missing cost basis.
- Complies with all appliable regulatory requirements and performs additional duties as requested.
- Provides and coordinates routine training and new initiatives, supporting team development and process consistency.

Qualifications
- High school diploma or GED is required
- Five years’ administrative support experience required
- Four or more years working as a Client Associate required
- Experience working in financial services, trusts or retirement plans, or paralegal experience required
- Two or more years of Cannon Trust Training or CFP preferred
Training and Compliance
Specific compliance training is assigned for this position upon hire, transfer and annually. It is expected that all assigned training will be completed in the time allotted.
Position Type/Work Schedule
Full time, 40 hours per week, Monday through Friday
