This role will be located at one of Discovery Land Company’s Corporate Office locations in Scottsdale, Arizona.
Discovery Land Company is seeking a full-time, year-round Senior Contract Administrative Assistant to join the Legal Department.
Job Summary:
The Senior Contracts Administrative Assistant will assist the contracts division with all administrative functions necessary to maintain real estate sales and membership records, and support real estate transactions.
Duties & Responsibilities:
Review and gain a working knowledge of all documents for Discovery communities supported by the Contracts team, including governing, contracts, and golf club / marina club documents.
Coordinate with sales team to provide buyer’s representatives all backup information requested and accurately maintain files of all project documents that may be requested.
Prepare accompanying documents for real estate sales, check signed contracts to make sure they are complete and accurate, and coordinate with project-based teams on closings as needed.
Set up, organize and maintain electronic folders for all real estate and membership sale transactions.
Coordinate with escrow / title companies to open escrow and ensure that all timelines in sales agreement are met.
Format and update governing documents as needed for distribution to purchasers, members and management.
Provide support for Contracts Team with additional document preparation, review, and submission.
Organize collateral materials for project-based sales team and assist with mailing / shipment of materials to members or projects.
Manage databases and input all records in a timely and accurate manner to Oracle, Brokermint and other programs as needed.
Mentor on-site sales assistants with Oracle, Brokermint, map updates, and other technology maintained at the project level.
Support Contracts team with sales and inventory reporting as requested.
Provide timely communication to the project based sales teams about any issues related to real estate and membership sales.
Skills & Qualifications:
Bachelor’s degree preferred.
At least four years of experience with real estate contract administration.
Experience using CRM software programs and proficient in Microsoft Office programs.
Exceptional verbal and written communication skills.
Must possess high level of confidentiality and discretion.
Excellent attention to detail, accuracy, and organizational skills.
