Experience and Qualifications:

High School Diploma or GED required
Five (5) years in an Administrative Assistant/Secretarial position
Ability to perform administrative support tasks on own initiative after receiving instruction.
Working knowledge of office equipment including telephone and fax.
Computer knowledge to include Microsoft Office Suite and Google platforms.
Excellent communication, interpersonal and conflict resolution skills
Data-driven mindset with the ability to analyze data and drive data-informed decision-making.
Demonstrated commitment to fostering a positive and inclusive office climate.
Valid Act 34, Act 151, FBI Clearance (self-paid)
Drug Screening (self-paid)
Act 126 and Act 71 training certificates
Resume, Letter of Interest, and application through the District website

Primary Duties and Responsibilities:

Perform confidential secretarial and routine administrative assignments for the Director of Special Education, applying knowledge of the School District, policies and procedures applicable to the function and to office routines.
Open and scan mail and attached pertinent file data.
Compose letters and memoranda for the supervisor’s signature on own initiative or from verbal instruction.
Arrange appointments, make reservations and schedule and track interviews.
Receive and screen visitors and direct them to the proper person within the Department, based on the nature of their business.
Type a variety of letters and reports from written copy.
Accumulate data and maintain records and files of confidential and other data and prepare reports pertinent to the supervisor’s responsibilities.
Complete special assignments requiring initiative to plan and organize the details and presentation.
Answer questions and make decisions based on precedent and policy.
Order office supplies, process all bills and orders for the Special Education classrooms with the prior approval of the Director of Special Education.
Improve existing office methods and procedures, forms and filing systems.
Answer telephone, receive and transmit messages and transfer calls to the appropriate party.
Create and process PTEs (Permission to Evaluate).
Instruct and guide new or lesser-experienced clerical and secretarial personnel.
Operate a variety of office equipment including, but not limited to computers, adding machines, scanner and fax.
Ability to upload student information into a variety of platforms.
Track out-of-District placements on spreadsheet(s), ensuring that the Special Education records are current and uploaded.
Track and extract all graduates for the school year, based on their year of graduation. Responsible to make sure files are destroyed, based on records retention guidelines.
Track and maintain Special Education Professional Development information.
All other duties as assigned by the Director of Special Education, Special Education Supervisors and Special Education staff.
