What Can You Expect
- Manage daily office operations, including ordering supplies, coordinating vendors, and ensuring a welcoming environment for staff and visitors; act as the first point of contact for the office.
- This role serves as the operational linchpin for day-to-day office functions and a trusted extension of leadership. The right candidate will not only handle administrative tasks with excellence but also step confidently into high-trust responsibilities—representing leadership when needed, facilitating key communications, and driving forward office-wide initiatives.
- Support scheduling, travel coordination, meeting planning, and internal communications on behalf of the General Manager.
- Coordinate onboarding for all new hires—assemble welcome kits, prepare orientation materials, and assist HR with I-9 confirmation, photo capture, and remote onboarding tasks.
- Step in as an extension of the General Manager to communicate with internal teams, resolve office-related issues, or represent leadership in meetings or vendor interactions as needed.
- Manage relationships with facility vendors, utility providers, and internal Reeves Young partners (e.g., marketing and IT support for the digital video wall).
- Identify, implement, and refine office processes to promote operational efficiency, documentation accuracy, and staff experience.
What You Bring to the Table
- Proven experience supporting senior leadership, preferably in a fast-paced, professional services or construction-related environment.
- Strong relationship-building and communication skills across all organizational levels.
- Exceptional attention to detail, record-keeping, and ability to manage sensitive information.
- Discretion and good judgment in handling confidential or high-trust matters.
- Proficiency with Microsoft Outlook, Word, Excel, Adobe PDF tools, and Screencloud (for digital signage).
