Job Description

70% - Contract Support: 
  • Assist with the intake process for new agreement requests. Monitor a shared mailbox, assign tracking numbers, create electronic files, and perform data entry on a tracking spreadsheet.
  • Appropriately route and follow up on communication through multiple channels.
  • Help prepare and route contracts on standard agreement templates.
  • Track contract status updates and follow up with internal parties.
  • Assist in the completion phase of a contract. Update a tracking spreadsheet, move electronic records and email correspondence appropriately. Ensure all necessary documents are present in the contract file.
20% - Data Management and quality control:
  • Perform quality assurance work on contract tracking spreadsheets to ensure dates and statuses are complete, accurate, and up to date on all contracts. 
  • Research statuses on the contract tracking spreadsheet for prior fiscal year contracts not completed. 
    Correct status or follow up with the Director as appropriate.
  • Review exiting contract files for completeness
10% - Support Fiscal Affairs team; other duties as assigned
  • Provide administrative or data management support to other functions within the Fiscal Services team in the Office of Research as needed
  • Special projects as assigned

Required Qualifications

  1. Currently enrolled as a student at the University of Kansas, majoring in Business or closely related field, in good academic standing.
  2. Strong communication skills, both written and verbal, as evidenced in application materials.
  3. High attention to detail and ability to follow direction, as evidenced in application materials.
  4. Strong organizational skills, as evidenced in application materials.
  5. Ability to work independently, multitask, and effectively manage time, as evidenced in application materials.
  6. Proficiency with Microsoft Office 365, as evidenced in application materials.

Position Overview

The University of Kansas Office of Research is seeking a detail-oriented and highly motivated Student Assistant. This position will provide support for the contracts function on the Fiscal Affairs team within the KU Office of Research. The Student Assistant will report to the Director of Budgets and Financial Services and will perform administrative, data management, and process support tasks related to the review, tracking, and processing of research contracts. The position may also support the Fiscal Affairs team in other administrative duties, as needed.

Position Requirements

During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions

(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
