Position Summary:
Provides continuity of records in transition from prospective resident to appointed resident and ensures accuracy of information maintained during tenure.
Essential Functions:
• Maintains confidentiality of all records and information obtained.
• Participates in the preparation of manuscripts, abstracts and other materials for publication or presentation.
• Assists Senior Residency Coordinator in maintaining and tracking statistical surveys to be used in various reporting mechanisms including the AMA/FRIEDA annual surveys.
• Composes and prepares correspondence and various reports, prioritizing appropriately.
• Prepares and distributes call schedules to resident staff, faculty, and pertinent hospital departments.
• Demonstrates working knowledge of residency program, including resident match program.
• Tracks and assures compliance with required certifications.
• Schedules residents, fellows and faculty for any re-certifications in BLS/ACLS, ATLS and PALS/NRP.
• Appropriately represents the department to the public and outside agencies in matters of administrative consequence.
• Coordinates conference travel to include airfare, registration, hotel accommodations and reimbursements to physicians.
• Develops working knowledge of ERAS database regarding applications, evaluations and scoring.
• Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards.
• Maintains compliance with all Orlando Health policies and procedures.
Other Related Functions:
• Screens telephone calls and visitors in a timely, courteous and appropriate manner.
• Maintains an accurate inventory of office supplies, forms, maintains equipment.
• Adjusts support to accommodate changing priority needs.
• Assists Senior Residency Coordinator with medical students and physician assistants rotating through the department to include badge, parking, pager, call schedules and academic schedules.
• Demonstrates tact and diplomacy, and maintains confidentiality.
• Seeks professional growth pro-actively by seeking out opportunities for career development.
• Cognizant of improving quality of service in a cost-containment environment.
• Willing to participate on various hospital committees.
• Develops process to improve efficiency by designing standardized formats for routine correspondence.
• Supports department faculty, residents, fellows and staff as needed.
• Photocopies and distributes Journal Club articles to residents and faculty in a timely fashion.
• Tracks periodicals and books for medical libraries.
• Coordination of rotation specific curriculum to include goals and objectives and pre & post exams.
• Implements systems of faculty, resident and rotation evaluations per RRC guidelines.
• Provides administrative support for resident staff per RRC guidelines to include lecture preparation, Curriculum Vitae, post graduate employment and pre-credentialing and verification.
• Coordination of RRC required didactic lecture series.
• Generates and maintains IRB protocol documentation.
Education/Training:
High School diploma or equivalent. Working knowledge of word processing, spreadsheet, presentation and/or database software, preferably Microsoft Office-based products (Word, Excel, PowerPoint, Access).
Experience:
Two (2) years clerical or secretarial experience.
