ESSENTIAL FUNCTIONS
The list of duties and responsibilities is illustrative only, and is not a comprehensive listing of all the duties and responsibilities performed by this position.

Receives phone calls and visitors and refer them to the appropriate staff
Collects mail and distributes to office personnel.

Prepares, and submits job postings for posting on Gary Community School Corporation website, and INDEED.
Modifies and revises job descriptions and keep job descriptions updated
Distribute, collect and monitor applications and applicant pools
Follow up with prospective applicants
Processes prospective applicants by distributing drug testing, background and CPS clearance forms.
Types forms, memos, letters, and labels and personnel cards.
Completes all on-boarding processes, including the I-9, E-verify
Updates information in Novatime, and resets passwords
Works with IT on setting up emails
Works with security to obtain new employee badges
Files all pertinent employment documents and updates and maintains personnel cards with current information for all employee groups.
Compiles and maintains updated listing of applicants for vacancies
Manages the AESOP system and keeps AESOP System up to date by adding new teachers, transfers and removing teachers who have resigned or retired.
Updates AESOP with telephone number, job, sites and certification changes.
Completes Federal Student Loan Request for Cancellation or Deferment Forms
Type verification of employment letters for past and current employees.
Copies contents of employee’s folders for Legal Services when required by the Courts.
Sends letters to emergency permit staff regarding termination of their emergency permit (June), if necessary.
Orders office supplies and create purchase orders for HR.

Protecting organization’s value by keeping information confidential

Maintains regular attendance and punctuality.
Assists other personnel as may be required for the purpose of ensuring an efficient and effective working environment.

SUPERVISORY RESPONSIBILITIES
None.

Knowledge of:

General office and clerical practices.
Customer service methods and techniques.
Proficient in Microsoft Office Suite
Basic filing and recordkeeping principles.

Ability to:

Establish and maintain effective working relationships with employees, students, parents, and the public.
Handle multiple tasks simultaneously.
Work without close supervision; perform satisfactorily under pressure and with frequent interruptions.
Maintain confidentiality of human resources information.

EDUCATION AND EXPERIENCE

High School Diploma, or G.E.D.,
Minimum of two years in human resources and general office experience preferred.
