POSITION SUMMARY:
The Receptionist is responsible for providing exceptional customer service to all vendors and visitors and applicant tracking and answering the telephones. The Receptionist is responsible for providing administrative, secretarial support to the facility's administrative staff.
JOB-SPECIFIC RESPONSIBILITIES:
• Provides telephonic support by answering telephones in an appropriate, courteous, professional, and timely manner.
• Ensures appropriate backup coverage for the telephones is secured when away from the office.
• Provides training to employees regarding telephone usage.
• Assists with updating and disturbing employee telephone directory regularly.
• Provides quality customer service to all staff, vendors, and visitors.
• Ensures voice mail is checked and appropriate personnel is notified accordingly.
• Courteously greets visitors, ensuring appropriate sign-in procedures are followed.
• Provides administrative and secretarial support to staff as requested.
• Ensures that mail is properly prepared, sent to, and picked up from the post office daily.
• Ensures that deliveries of packages, supplies, orders, etc., are distributed to appropriate departments promptly.
• Ensures all in-going and out-going mail is distributed accordingly and promptly.
• Ensures that incoming faxes are distributed to the corresponding proper individuals in a timely manner.
• Ensures that administrative offices are clean and presentable for guests, visitors, and staff.
• Ensures there are always current employment applications available at the Front Desk for distribution and forwards the completed application to Human Resources.
• Maintains administrative filing promptly.
• Assists in ordering administrative lunches as requested.
• Ensures all staff are identified correctly with appropriate badges.
• Performs other duties as assigned.
POSITION QUALIFICATIONS:
EDUCATION:
• Minimum of High School diploma or equivalent, preferably with some college courses.
EXPERIENCE:
• None required
LICENSURE/CERTIFICATION:
• Must have a valid Texas Driver's License and dependable transportation.
• Must be knowledgeable of and practice Infection Control and Universal Precautions.
• Must pass a criminal background, misconduct registry, and OIG/GSA Sanction check.
