Job Summary

The Facilities Manager is responsible for managing and maintaining the physical condition of approximately +/- 800 retail locations and ensuring a safe, clean, and welcoming environment for customers and staff. This role involves coordinating repairs, preventative maintenance, managing vendor relationships, and overseeing the operational needs of the retail facilities. The Facilities Manager will work closely with store managers to ensure that all retail locations are running smoothly and efficiently.

Major Responsibilities

  • Coordinate repairs and maintenance for store equipment, HVAC systems, lighting, plumbing, and electrical systems.
  • Ensure store exteriors (including signage, parking lots, and landscaping) and interiors (sales floors, restrooms, stockrooms) meet company standards for appearance and safety.
  • Manage relationships with external vendors (cleaning, security, maintenance, etc.) for each retail location
  • Negotiate contracts and monitor vendor performance to ensure timely and cost-effective services.
  • Oversee and ensure that vendors comply with health and safety regulations, environmental standards, and company policies.

  • Manage the facilities budget for each retail location, ensuring expenditures on repairs, maintenance, and capital improvements are controlled.
  • Develop cost-saving strategies without compromising the quality of facilities management.
  • Review and approve vendor invoices, track facility-related expenses, and report on budget adherence to senior management.
  • Implement and manage a preventative maintenance schedule for each retail store where the Lease requires, ensuring that all equipment and facilities are kept in optimal working condition.
  • Respond promptly to maintenance issues and emergencies, such as power outages, plumbing issues, or HVAC malfunctions.
  • Track and report on recurring maintenance issues to identify and resolve underlying problems.
  • Lead the response to facility-related emergencies such as natural disasters, fires, or security breaches, ensuring minimal disruption to retail operations.
  • Establish and manage a clear understanding of lease terms (e.g., maintenance, repair obligations, utilities, property taxes) to ensure compliance with Lease responsibility to avoid disputes.
  • Provide ongoing support and training to retail managers on facility management best practices. Serve as the main point of contact for retail managers and employees regarding facility-related concerns or service requests.
  • Performs other related duties as assigned

Key Competencies

  • Strong organizational and multitasking skills to manage multiple locations and priorities.
  • Excellent communication and interpersonal skills for liaising with vendors, store managers, and other stakeholders.
  • Proficiency in facility management software, specifically Service Channel, Microsoft Office Suite, and/or related tools.
  • Knowledge of building systems, safety protocols, and retail-specific regulations (e.g., fire safety, ADA compliance).
  • Ability to troubleshoot and manage vendor relationships effectively.

Position Type/Expected Hours of Work

This is a full-time position.  Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.  This position might require long hours and weekend work.
