Admin Services Coordinator - IRL
The Iowa River Landing Clinic is seeking a 100% Administrative Services Coordinator. This position supports the Department Executive Officer, the Director of Clinical Services, the Associate Director of Nursing at the Iowa River Landing (IRL) clinic, and the IRL staff through administrative duties. Key areas of responsibility include operational support, information management and communication, purchasing and reconciliation, and customer service. May perform other duties as assigned. This position requires a high level of discretion, confidentially, attention to detail and accuracy, and independent judgement.

Job Responsibilities:
Operational Support and Management
- Serve as the primary contact and liaison for DEO, Director of Clinical Services, and Associate Director of Nursing
- Make decisions and exercise a high level of autonomy while performing administrative management responsibilities
- Oversee and manage the schedules for DEO, Director of Clinical Services, and Associate Director of Nursing
- Plan and coordinate the logistical and financial aspects of special events
- Maintain detailed records and files for IRL Leadership
- Ensure IRL conference rooms and common spaces are appropriately managed, including updated signage and granting approval for room reservations
- Provide support to DEO, Director of Clinical Services, and Associate Director of Nursing in the development of presentations for meetings
- Coordinate parking assignments and the purchasing of parking assignment for staff
- Other duties as assigned
Financial Responsibility
- Initiate purchasing requests for supplies and food for events
- Work directly with department areas on receiving and/or initiating purchase orders
- Initiate travel and reimbursement requests
- Assist with monitoring of accounts/expenditures
- Reconcile vendor statements and monitor vendor payments
- Knowledge of cash handling policies
Information Management
- Coordinates high level/confidential meetings for DEO, Director of Clinical Services, and Associate Director of Nursing.
- Evaluates requests for information and meetings and exercises discretion and judgement in providing confidential information
Communications Management
- Serves as first point of contact for DEO, Director of Clinical Services, and Associate Director of Nursing
- Prepares correspondence for internal and external individuals/groups
- Coordinates communication for IRL with other departments and units throughout UI Health Care.
Financial Management
- May analyze, monitor and report financial data, information and reports.

Percent of Time: 100%
Schedule: Monday - Friday, 40 hours a week will be accomplished between the times of 8:00am-5:00pm. Additional hours as assigned.

Minimum Eligibility Requirements:
- A Bachelor’s degree or an equivalent combination of education and experience
- 1+ years of experience providing administrative operations support
- 1+ years public contact/customer service experience
- Demonstrated ability to meet deadlines, follow-up, and multi-task with minimal supervision
- Demonstrated ability to work collaboratively across functions, levels, and departments towards shared objectives
- Demonstrated organizational and project management skills
- Excellent verbal and written communication skills
- Demonstrated proficiency in computer software applications, especially Microsoft Office Suite
Desired Qualifications:
- Working experience (6+ months) with electronic processing systems and electronic financial reports
- Experience verifying funds, reconciling accounts, and processing reimbursements
- Previous experience building, overseeing, and managing schedules for others
- Knowledge of University of Iowa Health Care policies, procedures, and regulations
