Our client
Our client is a well-established bank based in Basel, operating in a highly regulated environment. To strengthen its Logistics, Correspondence and Records Management function, we are looking for a reliable and structured specialist with strong experience in information handling, records management and M365-based collaboration tools.
Your Responsibilities. Records and Information Management
· Management of bank records in accordance with internal policies and regulatory requirements
· Administration of physical and electronic records throughout their lifecycle, including storage, retrieval, quality control and disposal
· Ensuring compliance with defined records management processes and retention schedules
· Use and maintenance of Records Management Tools for structured information handling
Correspondence and Logistics
· Processing of all incoming and outgoing business correspondence, including physical mail, fax and electronic communication
· Registration, scanning, indexing and distribution of business correspondence
· Handling of confidential internal records with a high level of discretion and accuracy
· Coordination of logistics related to document handling and archiving
Business Support and Guidance
· Providing support and guidance to business units on proper information and records management practices
· Acting as a point of contact for questions related to document handling, correspondence processes and records compliance
· Supporting audits and internal controls related to records and information management
Technologies and Tools
· MS SharePoint
· M365 Apps (Outlook, Word, Excel, Teams, OneDrive)
· Records Management Tools
· Electronic document and archive systems
Requirements
Your Profile
· Completed commercial training or equivalent professional experience, ideally in a banking or regulated environment
· Proven experience in records management, correspondence processing or information logistics
· Strong understanding of document lifecycle management, both physical and electronic
· Confident handling of MS SharePoint and M365 applications
· Structured, reliable and detail-oriented working style
· High sense of responsibility and discretion when handling confidential information
· Very good English skills, German is an advantage
