POSITION SUMMARY
The Collections Evaluation (CE) Specialist reviews donor and donation reports, performs evaluation and reconciliation of discrepancies associated with donor deferrals, duplicate donors, and donor merges. The CE Specialist’s primary responsibility is to make certain that the donor’s information is correct in LifeStream’s blood establishment computer system (BECS). This involves donor follow-up and investigation associated with temporary or permanent deferrals, potential duplicate donors, ABO discrepancies and the accuracy of the donor’s demographic/registration information. The CE Specialist also reviews exceptions and errors in the transfer of donor data from the automated donor history questionnaire system into the BECS. Offline data entry of donor information is completed by the CE Specialist for manual donor history cards and situations where critical information did not appropriately transfer. This position also helps with other data entry tasks such as donor reactions into the repository and collections deviations into the deviation management system.
Qualifications
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
1. Reviews donor and donation reports; performs investigation and reconciliation of discrepancies.
2. Evaluates all possible duplicate donors; makes donor calls to determine if it’s a true match and merges donor data into the blood establishment computer system (BECS), as necessary.
3. Performs merges on ineligible donors with permanent deferrals/deferrals.
4. Follows-up with Medical Surveillance to determine if Post Donation Information (PDI)s are needed for ineligible donors.
5. Performs donor follow-up and investigation associated with temporary or permanent deferrals, and completes data entry of deferral into the BECS.
6. Reviews Donor-ID to the BECS report. Performs follow-up tasks of errors listed on the report.
7. Performs off-line entry of donation information and complete overrides, as needed.
8. Assists in the completion of donor blood type discrepancy investigations.
9. Performs donor status changes.
10. Performs manual entry of lot release in the BECS, as needed.
11. Enters statistical data using Microsoft Word or Microsoft Excel.
12. Assists in the preparation, execution, and distribution of monitoring and auditing reports.
13. Reviews paperwork completed by other staff members within the department.
14. Reviews Donor Identification Change report for appropriate changes.
15. Assists in the training of Data Processing procedures.
16. Performs data entry of donor/donation deviations into the deviation management system.
17. Performs data entry of donor reactions captured on a manual form into the Donor-ID reaction repository.
18. May assist with providing process improvements to Standard Operating Procedures (SOPs).
19. Files paperwork according to record retention timeframe.
20. Performs other duties as assigned.

COMPLEXITY
Work involves mostly duties that involve related steps, processes, or methods, requiring the employee to make choices and recognize differences in a few easily recognizable situations, such as differences in fact, sources of information, or kinds of transactions or entries. Occasionally, work includes various duties involving different and unrelated processes and methods. Decisions on what needs to be done require analysis of the subject in each assignment, and chosen courses of action may be selected from several alternatives. Work involves conditions and elements that must be analyzed to identify interrelationships.
NATURE AND EXTENT OF SUPERVISION PROVIDED TO THE POSITION
The supervisor makes assignments by defining objectives, priorities and deadlines, assisting the employee with unusual situations with no clear precedents. Employee plans and executes steps to complete the assignment, following instructions, policies, and previous training or accepted practices. Completed work is evaluated for soundness, appropriateness, and conformity to policy. Methods used by the employee are not reviewed in detail. Occasionally, the supervisor sets overall objectives and resources available, with deadlines and work plans developed in consultation with the employee, with some opportunity for the employee to interpret policy, or determine approaches and methodology for accomplishing assignments.

EDUCATION
High School Diploma or GED.
EXPERIENCE
Two years’ experience in a related or similar position. Blood banking and/or laboratory experience preferred.
