Under the general supervision of the Chief Operations Officer, the Administrative Assistant II provides high level administrative and project support to the executive team. This role combines traditional executive assistance with strategic responsibilities, ensuring smooth operations while driving initiatives that impact multiple departments. We’re looking for a dynamic professional who thrives in a fast-paced environment and can seamlessly support our executive leadership team. This role goes beyond traditional administrative tasks; it’s about being a strategic partner who keeps operations running smoothly while driving high impact initiatives.
Qualifications
Key Responsibilities
- Executive Calendar Management: Manage complex calendars for C-suite executives, ensuring accurate scheduling, prioritization, and coordination of meetings, events, and travel.
- Administrative Support:
- Compose and prepare professional correspondence, including confidential materials.
- Take accurate meeting minutes and maintain official records for the Board of Directors and administrative departments.
- Arrange detailed travel plans, conference calls, and compile itineraries, agendas, and supporting documents.
- Strategic Project Leadership: Lead and execute high-level projects such as:
- Feasibility studies
- Proposals and surveys
- Reports and policy development
- Records Management: Develop and maintain accurate calendars, official board and administrative records, documents, and files.
- Special Projects & Events: Participate in and coordinate special projects and organizational events as assigned.
- Cross-Functional Collaboration: Work closely with multiple departments to identify operational challenges and implement solutions that improve efficiency and compliance.
Qualifications
- Proven experience in executive-level administrative support and project coordination.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and project management tools.
- Ability to work independently and maintain confidentiality.
Preferred Skills
- Experience conducting research and preparing reports for leadership.
- Familiarity with HR, Finance, Compliance, and Quality Improvement processes.
- Strong analytical and problem-solving abilities.
