POSITION OVERVIEW

The Transport Dispatch Manager oversees the daily coordination, scheduling, and execution of transport operations within the Transport Division. This role directly supervises the dispatch team and ensures that routes are assigned accurately, efficiently, and in alignment with customer expectations and delivery requirements. Although not responsible for driver management, this position supports drivers through problem-solving, routing adjustments, and operational guidance. ESSENTIAL JOB FUNCTIONS

Key Responsibilities

Dispatch Operations & Routing

  • Lead all daily dispatching activities, including routing, load assignment, and schedule adjustments.
  • Ensure all loads are dispatched correctly with zero routing or ticketing errors.
  • Monitor live fleet performance through telematics and adjust routes in real time.
  • Manage dispatch coverage for weekends, after-hours issues, and planned absences.
  • Ensure dispatching practices support cost-efficient operations and maximize equipment utilization.
  • Supervise, coach, and support all dispatch personnel.
  • Maintain scheduling for dispatch staff, including coverage planning and fill-in responsibilities.
  • Ensure dispatchers follow company standards, routing procedures, and communication protocols.
  • Assist with performance reviews, training, and continuous improvement initiatives.
  • Provide drivers with routing guidance, troubleshooting support, and clear instructions.
  • Act as the primary operational resource for drivers needing help with routing, terminal issues, delays, or BOL clarifications.
  • Ensure all information provided to drivers is accurate and delivered in a timely manner.
  • Maintain professional, clear, and timely communication with customers regarding ETAs, delays, delivery confirmations, and special requests.
  • Serve as a communication hub between dispatch, drivers, terminals, and internal management.
  • Ensure customer updates are documented, relayed to the appropriate team members, and followed through.
  • Monitor KPIs related to dispatch efficiency:
    • Routing accuracy
    • On-time delivery performance
    • Communication timeliness
    • Error-free dispatching
    • Load and trip documentation accuracy
  • Identify opportunities for improved scheduling, routing efficiency, and workflow enhancements.

 

 

Schedule & Work Expectations

  • Full-time: Monday–Friday.
  • Fill-in responsibilities during dispatcher absences, emergencies, or peak periods.
  • Occasional after-hours availability may be required for urgent operational issues.

Qualifications


EDUCATION & QUALIFICATIONS:

  • Associate or bachelor’s degree plus 2 years work experience preferred
  • Strong organizational skills and able to work well in a structured environment
  • Detail focused
  • Ability to make continuous forward progress on multiple tasks or projects
  • Possess advanced analytical skills
  • Experienced computer skills working in Excel
  • Excellent communication skills
  • Commitment to Excellence and holding team to highest standards
  • 2–5 years dispatch or logistics leadership experience.
  • High level of computer proficiency, including:
  • Email and professional communication
  • Microsoft Excel (basic formulas, formatting, data entry)
  • Microsoft Word
  • Use of web-based dispatch platforms and portals
  • Ability to learn and operate new software quickly
  • Proficiency with dispatching, routing, and fleet management systems.
  • Experience in truck dispatch (fuel transport, hazmat, tanker, etc)
