The Operations Manager is a vital member of the leadership team, responsible for supporting operational excellence across the organization. Reporting directly to the Chief Operations Officer, this role ensures the smooth functioning of clinic operations through strategic support, data analysis, and continuous performance improvement. The ideal candidate is proactive, detail-oriented, and committed to advancing the ministry’s mission through efficient and compassionate service delivery.

MINISTRY DUTIES


  1. Actively demonstrate the organization's Mission and core values, and conducts oneself at all times in a manner consistent with these values.
  2. Collaborate with the Chief Operations Officer and management team to support strategic initiatives and recommend operational improvements.
  3. Monitor and report on operational performance, identifying issues and opportunities for enhancement.
  4. Analyze workflows and implement process improvements to close operational gaps.
  5. Oversee Patient Access Department and provide patient access support as needed, including registration, scheduling, and eligibility areas.
  6. Aggregate and validate data from multiple sources for reporting and decision-making.
  7. Investigate data anomalies, identify root causes, and present findings through clear and actionable reports.
  8. Assist in the development and maintenance of operational dashboards.
  9. Support grant and programmatic reporting requirements.
  10. Track and report on regulatory benchmarks, standards, and grant submissions.
  11. Oversee procurement processes, including supply and equipment purchasing and purchase order management.
  12. Handle daily cash receipts, maintain appropriate cash levels, and reconcile patient visits with receipts.
  13. Participate in performance improvement initiatives across departments.
  14. Translate complex data into meaningful insights to inform operational decisions.
  15. Ensure compliance with HIPAA, OSHA, and internal policies while maintaining patient confidentiality.
  16. Promote the ministry’s mission and commitment to cultural diversity through inclusive and professional conduct.
  17. Perform additional duties as needed to support clinic operations and organizational goals.






Requirements

Education: Bachelor’s degree in Healthcare Administration, Business, Finance, or related field required.


Licensure: N/A


Experience: 3–5 years of management or supervisory experience


Other Job Requirements:

Proficient in Microsoft Office, practice management systems, and electronic health records.

Knowledge of HIPAA, Privacy Acts, and medical records processing.

Aptitude in decision-making, critical thinking, and problem-solving.

Interacts professionally, courteously and efficiently with public and all levels of the organization

Demonstrates effective customer relation skills, working with diverse populations, often in stressful fast-paced environments.

Ability to handle sensitive information in a confidential manner and to achieve results through the leadership and influencing of others. 

Bilingual in English/Spanish.
