The Medical Administrative Manager assures that this mission is the foundation for the delivery of services and carrying out job duties.

POSITION SUMMARY

The Medical Administrative Manager supports the Nurse Manager in the hiring, scheduling and supervision of the 24/7 nursing and medical support staff.  Additionally, this role provides administrative support to the Medical Leadership Team, including the Chief Medical Officer, Director of Medical Operations, Medical Director and Director of Psychiatric Services.  The Medical Administrative Manager joins a dynamic interdisciplinary team of medical providers, nurses, case coordinators, medical technicians, and peers in providing compassionate, trauma-informed, evidence-based medical care to patients using substances.

Essential Job Responsibilities:
  • Collaborates with the Nurse Manager on the hiring and scheduling of nurses and medical tech staff.
  • Collaborates with the Nurse Manager on completion of supervisions, performance reviews, IR review, timecards, and other duties as assigned.
  • Coordinates celebrations for patients and staff in Withdrawal Management to foster a supportive and uplifting care environment.
  • Shares ongoing staffing & scheduling responsibilities with Nurse Manager
  • Collaborates with Nurse Manager & NOC Shift Supervisors to ensure smooth 24/7 operations of Withdrawal Management Unit.
  • Collaborates with Nurse Manager and Medical Operations Director on development and ongoing implementation of Nursing School educational partnerships & recruitment pathways.
  • Supports medical leadership team in scheduling meetings with community partners and other Fora departments, building presentations for community education, managing medical staff schedules, and coordinating with Fora Marketing & Development on promotional materials and events.
  • Attends periodic organizational leadership meetings.
  • Ensures safe, quality care through adherence to medical policies and procedures.
  • Maintains and strengthens good working relationships with other Fora departments.
  • Provides administrative support for new program development in the medical department.

ESSENTIAL JOB FUNCTIONS

Counseling and Education
  • Role model healthy styles of communication and behavior, by using non-violent communication, verbal de-escalation, and demonstrating appropriate physical and emotional boundaries. Maintain professional boundaries with the patients at all times.
  • Understands and adheres to principles of harm reduction.
  • Performs additional duties as assigned.
Professional and Ethical Responsibilities
  • Demonstrate ethical behaviors by adhering to established professional codes of ethics that define the professional context within which the counselor works, in order to maintain professional standards and safeguard the patient.
  • Adhere to Federal and State laws and agency policies and procedures regarding the treatment of substance use disorders.
  • Recognize the importance of individual differences that influence patient behavior
  • Participate in ongoing supervision and consultation.
  • Practices appropriate self-care.
  • Adhere to all state and federal privacy regulations, including HIPAA and 42 CFR Part 2, and to De Paul policies and agreements regarding confidentiality, privacy, and security. Support compliance with all privacy and security requirements pursuant to community partners’ and outside providers’ patient confidentiality agreements, including privacy and security requirements for EMR access.
SUPERVISORY FUNCTIONS
Provide schedule and staff coverage for withdrawal management program 24/7 within, but not exceeding required staff: patient ratio.
  • Ensure all withdrawal management staff documentation is accurate and timely.
  • Document supervisory issues with staff.
  • Responds to patient and staff grievances in alignment with organizational policies, ensuring timely resolution and documentation.
  • Supports Nurse Manager and Medical Director in providing a consistent, comprehensive training program for new staff.
  • Ensure staff are timely on required trainings.
  • Oversee onboarding process for new medical staff, including coordination of compliance trainings, and ensures completion of required modules.
  • Provide leadership, support and guidance for residential and withdrawal management staff.
QUALIFICATIONS

EDUCATION AND EXPERIENCE REQUIRED
  • Minimum of 3 years experience in management in any relevant setting; must have experience with scheduling and direct supervision of staff
  • Experience in mental health & addiction settings helpful but not required
  • Bachelor’s degree required
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
  • Proficient in Microsoft Office applications
  • Communicates information effectively in writing and verbally
  • Strong organizational skills and attention to detail
  • Displays initiative and problem-solving skills
  • Marked ability to demonstrate and utilize self-awareness
OTHER REQUIREMENTS
  • For employees with a history of substance use disorder, Fora Health’s policy requires certification of a minimum of two years of sobriety for this position.
  • Ability to pass pre-employment or for cause drug tests.
  • Ability to pass DHS criminal background.
  • Position will require some amount of regular connection to work via cell phone to answer questions and respond to internal and external contacts.
WORKING CONDITIONS
  • This position works in an indoor office environment and also periodic travel to other sites.
  • Position does not consistently require overtime.  Adjustment of work schedule may be required.
  • The withdrawal management program is operated 24 hours a day, therefore, shift assignments may include days, evenings, nights, weekends and holidays.
  • Possible exposure to communicable diseases which can encompass a variety of illnesses and infections, including tuberculosis, Hepatitis A, B, and C, and HIV.
  • Possible exposure to upset, angry, severely traumatized or emotionally disturbed adults, adolescents, and families.
  • Exposure to potentially hazardous cleaning chemicals, body fluids, sharps equipment and medication; personal protective equipment provided.
  • Fast paced, high volume work environment.
