Starting Pay Range - $21.64 - $23.81 /hr
Summary:
To provide administrative assistance to Program Manager and staff and clients. Communication center point. Responsible for data entry to proprietary data systems and department databases. Assist Program Supervisors to track team productivity.
Essential Job Responsibilities:
- Enter deadlines – sensitive data into multiple data bases and tracking systems in a timely manner for program needs. Perform all related self-check, error-correction, and data information functions according to timelines.
- Assist with correspondence, faxing, copying. Sort, collect, distribute and post mail.
- Answer incoming program calls, take and distribute messages.
- Provide reports for staff to track, complete required paperwork and perform monthly program audits for quality control.
- Cross trains to alternate duties as necessary to cover inter-departmental and Program needs including Front Desk Coverage Greeting Clients and Visitors.
- Communicate any site maintenance needs to the Facilities Department.
- Maintain Office Supplies, inventory and program forms.
- Maintain Tracking and Reports, Internal Caseload Data Bases and Process Referrals.
- Maintain Petty Cash Account and track receipts
- Assist HIM Department with Data Entry and uploading as needed
- Communicate needs and order department bus passes for consumers
- Record meeting minutes-upload and distribute.
- Adjust and update staff schedule member templates hours and exceptions include lunches, breaks, paperwork and meeting times.
- Work closely with Program Managers to ensure program is supported
- Book Hotels for Clients and track receipts
- Secure Renters insurance for Clients
- Ability to run errands for Cell Phone pick up and other departmental needs in addition to ordering supplies as needed via internet.
- Maintain Valid Driver’s License and be willing to drive company vehicles.
Non-essential Job Functions:
- Attend staffing and planning meetings as scheduled.
- Maintain communication and cooperative working relationships within the agency.
- Other duties as assigned by Supervisor.
Education, Licensing and Experience:
- Within 2-4 years of experience in an office type setting.
- Excellent organizational, clerical, computer, communication, and customer service skills.
- Able to multi-task.
Competencies, Knowledge, Skills and Abilities:
- Good communication and interpersonal skills, basic knowledge of chronic mental illness, customer service, maintaining and building therapeutic relationships.
- Assessment skills, multi-tasking, making decisions, problem solving, intermediate computer literate, and good time management skills.
- Flexible and open to change.
