Care Companions Assistant


Under the direction of the Care Companions Leader, the Care Companions Administrative Assistant provides essential administrative and clerical support to the Care Companions team. This role is responsible for completing a variety of office tasks, coordinating team communications, and assisting with staff orientation and training activities to ensure smooth daily operations and team effectiveness.

Schedule: Part-time hours working Monday-Friday, 12:00 pm - 4:00 pm


Essential Job Duties and Responsibilities:  

 

Assessments:

1. Meet with prospective clients to assess home environment and care needs.

2. Provide an explanation of services offered through the Care Companions program to prospective clients and their supports.

3. Review and secure necessary signatures to establish client/agency relationship.

Scheduling:

1. Schedule and coordinate in-home assessments, meetings, and trainings.

Review and manage staff/client schedules and timecards, daily.


Clerical: 

Initiate and maintain communication with both new and existing referral sources to support relationship development and continuity of care.

1. Execute general administrative and clerical tasks as assigned by supervisory personnel.

2. Execute general administrative and clerical tasks as assigned by Care Companions Leader.

3. Input data accurately into relevant systems, generate required reports, and conduct audits in accordance with established procedures.

4. Collaborate with the Care Companions Leader to coordinate and prepare materials necessary for internal team meetings.

5. Provide support across multiple functions of the revenue cycle process, including but not limited to billing, claims submission, payment posting, and account follow-up activities.

6. Manage the distribution, tracking, and collection of patient experience and satisfaction surveys to support quality improvement efforts.


Orientation:

1. Assist in the coordination and execution of all activities related to the onboarding of new staff members.

2. Schedule applicant interviews, new employee orientation sessions, and subsequent orientation reviews in alignment with organizational timelines and protocols.


Knowledge, Skills, and Abilities:

  • Computer proficiency (MS Office – Word, Excel, and Outlook)
  • Ability to communicate effectively, both verbally and in writing.
  • Perform other job-related duties as assigned. 
  • Ability to adjust to frequently changing demands.
  • Ability to communicate effectively with people of diverse backgrounds and ages.
  • Strong organizational skills and attention to detail.
  • Advanced technical/computer skills with the ability to use at least 2 or 3 different programs simultaneously. Proficiency in Word, Excel, Outlook a plus.
  • Strong work ethic with a professional, positive attitude.
  • Ability to prioritize workload and thrive in a fast-paced environment.
  • Effective organization and time management skills

Requirements


1. Experience completing functional patient assessments, preferred.

2. Strong computer skills are essential.

3. High school diploma or GED required.

4. Valid Wisconsin Driver’s License, reliable transportation, and proof of current automobile insurance coverage.
