Northeast Metropolitan Regional Vocational High School is a single-building district serving approximately 1,400 students and 250 staff members. The Data Systems Administrator is responsible for the

administration, maintenance, and support of the district’s data and learning systems. This role ensures the quality and integrity of data, while upholding security, privacy, and confidentiality protocols. The
position reports to the Administrator of Technology & Facilities and works collaboratively with a broader team, including the Systems Administrator, IT Technician, and Manager of Digital Learning.

TRAINING AND EXPERIENCE:
Candidates should have a minimum of 5 years’ experience with database systems, online portal workgroup environments, a working knowledge of SQL, Microsoft Office, an understanding of
the K12 educational environment, and the data requirements of the Massachusetts Department of Elementary and Secondary Education. Aspen X2 experience is preferred but not required.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
This job description does not constitute an employment agreement and is subject to change as the needs of the district evolve.
1. Manage the Student/Staff Information Systems including:

 

  • Training of all staff in the use of the Student Information System (Aspen)
  • Ensure the integrity of student academic records and manage access to electronic databases
  • Create and maintain links between and among the various database systems to increase efficiency
  • Coordinate, clean, import/export and manage data across systems (e.g., HR, scheduling, food services, IDs, attendance, health, and others).
  • Develop and enforce data field standards and naming conventions
  • Manage Parent Portal accounts and support family access
  • Provide support for scheduling, grading, GPA, transcripts, and report card processes.
  • Handle SIS beginning-of-year and end-of-year processes.
  • Troubleshoot SIS issues and provide technical support

2. Implement, manage, and provide ongoing support for other data and learning systems

  • This includes, but is not limited to: emergency communication systems, learning management systems, assessment systems, staff evaluation systems, curriculum software, enrollment systems, nursing systems, and other building-based data systems

3. Ensure the privacy, security, and confidentiality of student and staff information by developing and implementing effective processes and controls.

4. Provide oversight and ensure timely completion of State, Federal, and private data management and reporting.

  • Ensure the accuracy of all data by collaborating with others to proactively identify, prevent, and correct errors in a timely manner.
  • Prepare and submit mandated reports including SIMS, EPIMS, SCS, SSDR, and CRDC.
  • Manage user access, roles, and permissions within the DESE Security Portal to ensure proper access control and compliance.
  • Monitor Massachusetts DESE data reporting and analysis requirements and advise the district on changing requirements.

5. Promote, facilitate, and support effective data usage across the district

  • Generate aggregate reports on student and staff data
  • Analyze data from multiple sources to identify trends, gaps, and inconsistencies
  • Support staff in collecting, interpreting, and presenting data
  • Deliver training on best practices for data collection, analysis, and reporting

6. Other duties as assigned by Administration

TERMS OF EMPLOYMENT:

  • 40 hours per week
  • Monday - Friday
  • Year Round


SALARY RANGE:
$91,939.23-$113.164.22
