We are seeking a highly organized, detail-oriented, and proactive Sales Operations Coordinator to be the engine that keeps our sales initiatives running smoothly. This unique role blends operational excellence with project management, supporting everything from sample tracking and line sheets to tradeshows, key account coordination, and wholesale marketing initiatives.
The ideal candidate thrives in a fast-paced environment, loves solving problems, and can anticipate needs before they arise. They are equally comfortable diving into Excel spreadsheets, managing Asana project workflows, or coordinating cross-functional teams to execute initiatives flawlessly. This is a high-visibility role that works closely with the Senior Director of Sales, Key Account Managers, Marketing, Planning, and Design teams.

POSITION DUTIES / RESPONSIBILITIES
Sales Operations & Sample Management
- Manage all aspects of sample tracking, distribution, and returns for key accounts and tradeshows.
- Ensure the showroom and sample lines are organized, presentable, and ready for internal and client-facing meetings.
- Maintain seasonal, carry-over, AO, collaboration, and capsule line sheets, ensuring accuracy and timely distribution
- Support Need-It-Now (NIN) and wholesale tagging on ECOMM SMU’s, coordinating with Merchandising and Creative teams
- Manage sample lines, showroom organization, and key account tracking.
- Lead project management workflows in Asana for sales initiatives, tradeshows, and wholesale events.
- Prepare monthly sales reports and support analysis for decision-making.
- Plan and support tradeshows and events, including booth prep, logistics, and scheduling.
Project & Initiative Coordination
- Lead workflows for sales initiatives, tradeshows, wholesale marketing events, and key account travel
- Build and maintain calendars, deadlines, and cross-functional responsibilities for all sales activities
- Anticipate senior leadership needs and proactively provide updates, suggestions, and solutions
- Review past initiatives to create process improvements and hindsight learnings for future projects
Reporting & Analysis
- Prepare monthly best-seller reports and other sales data reports as needed.
- Assist in tracking rep promo orders, key account requests, UPC/fabric/COO inquiries, and image requests.
- Provide insights and summaries to support sales strategy and decision-making.
Tradeshow & Event Support
- Plan and organize tradeshows and regional sales events, including booth prep, appointment scheduling, and logistics.
- Manage project calendars, coordinate with cross-functional teams, and ensure all tasks are completed on time.
- Support set-up and breakdown of events, team lunches, and general tradeshow execution.
Cross-Functional Collaboration
- Serve as a bridge between Sales, Marketing, Planning, Production, and Design teams.
- Ensure clear communication of timelines, dependencies, and deliverables across departments.
- Act as a reliable point of contact for reps and internal teams on project and operational needs.
QUALIFICATIONS / EXPERIENCE / SKILLS / COMPETENCIES
- 2+ years of experience in sales, operations, or project coordination within the fashion/apparel industry preferred.
- Strong proficiency with Microsoft Office, Google Suite, Excel (including pivot tables, VLOOKUP, formulas) and project management tools (Asana, ClickUp, Basecamp).
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.
- Excellent communication and collaboration skills; able to work with multiple stakeholders with professionalism and clarity.
- Proactive, solution-oriented, and able to anticipate needs without constant direction.
- Positive, adaptable, and thrives under pressure.
PHYSICAL DEMANDS / WORK ENVIRONMENT
- This position is currently operating as 3-4 days in office / partial remote position. Work is conducted in an air-conditioned office environment or at home office. Frequent use of hands, eyes, speech utilizing computer and work-related equipment. Frequent sitting, occasional standing / dexterity.
Occasionally required to stand, walk, climb, balance, bend, stoop, kneel or crawl - Continually required to sit, utilize hand and finger dexterity, talk & hear

Position Salary Range $68,700 - $78,000 Annually
As required by applicable Pay Transparency laws, Z SUPPLY provides a range of compensation for roles that may be hired in locations under these requirements. To determine starting pay within the hiring range, we carefully consider a variety of factors, including primary work location, role/level, a candidate’s skills, experience, market demands, internal parity and other relevant factors. Flexibility outside of the salary range listed may be considered based on additional skills or qualifications a candidate may possess that may justify additional compensation. Company paid health benefits, PTO, bonus and other various company perks are not included in the salary range listed above and are considered additional compensation.
