JOB TITLE: Business Services Specialist
EMPLOYMENT TERM: Annual
SUPERVISOR: Director of Business Services
CLASSIFICATION: Classified, Exempt
JOB SUMMARY
The Business Services Specialist will support a variety of fiscal and administrative functions within our organization. This position plays a key role in financial operations, including accounts payable and receivable, purchasing, recordkeeping, and audit support. The ideal candidate is organized, proactive, and comfortable working in a dynamic and collaborative office environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Process and monitor accounts payable and accounts receivable transactions.
- Ensure accuracy by matching invoices, purchase orders, and receiving documentation.
- Manage purchasing tasks using purchase orders and online platforms.
- Coordinate with vendors to verify product delivery and resolve discrepancies.
- Obtain quotes and assist with procurement, including with cooperatives and contracts.
- Prepare and record cash deposits and maintain accurate financial logs.
- Reconcile credit card statements and bank accounts.
- Maintain and track the Fixed Assets Inventory.
- Use General Ledge (GL) codes accurately for financial entries.
- Prepare and post journal entries as needed.
- Support the finance team in audit preparation and maintain audit-ready records.
- Utilize Microsoft Excel, Word, and financial software (e.g., Visions or equivalent).
- Uphold confidentiality in handling sensitive financial information.
- Communicate and collaborate effectively with team members and stakeholders.
- Perform other duties as assigned in support of business operations.
MINIMUM EDUCATION AND/OR EXPERIENCE
- Experience in business services, accounting, procurement, or a related field.
- Understanding of financial procedures, GL codes, and reconciliations.
- Strong organizational skills with attention to detail.
- Ability to manage multiple tasks and meet deadlines in a fast-paced setting.
- Effective communication and interpersonal skills.
- Commitment to confidentiality and professional integrity.
PREFERRED EDUCATION AND/OR EXPERIENCE
- Associates or Bachelors Degree in Accounting, Business or related field.
- Two or more years or relevant work experience in finance or procurement.
