About the Department
Under the general direction and supervision of the Solid Waste Director or designee, the Administrative Assistant - Solid Waste schedules appointments, gives information to callers, and otherwise relieves officials of clerical and administrative work for the solid waste department.
Position Duties
High school diploma or GED; Three years of combined administrative and accounting support experience. Type 50 wpm; operate 10-key calculator by touch; proficient with Microsoft Word, Excel, publication and finance computer programs; and ability to work with minimum supervision. Must possess a valid, unrestricted Alaska driver's license.
One-year administrative support experience in an architectural or engineering office preferred.
Minimum Qualifications
2. Provides information to solid waste vendors, contractors and the public regarding solid waste related matters, including policies and procedures.
3. Composes letters, maintains files and mailing lists, transcribes notes and meeting minutes from recordings, schedules appointments and meeting, makes travel arrangements, and collects, sorts and distributes incoming mail. Prepares bulk mailings of department materials.
4. Responsible for billing and tracking of invoices for solid waste disposal fees. Compiles, manipulates and analyzes data for disposers, reports or other projects.
5. Reviews and processes invoices and purchase orders. Tracks solid waste accounts, grant and bond expenditures for construction projects, and reconciles figures with finance department. Assists in annual budgeting.
6. Types, copies and files correspondence, forms, reports, plan sheets and other records and solid waste department documents. Assists in maintaining associated solid waste files.
7. Transfers and retrieves archived files through record management.
8. Assembles construction, operation, and professional services bidding and contract documents. Reviews bid documents and contracts to verify that all requests in the documents and contracts are in compliance with applicable regulations and procedures.
9. Composes, edits, types, and files statistical graphs charts, tables and correspondence for solid waste construction, operations, and environmental programs.
10. Performs routine errands. Organizes and distributes litterbags and other solid waste related community promotional items.
11. Develops information and promotion material for advertising, staff training, public presentations and displays. Assembles displays and participates in public promotion events.
12. Monitors solid waste user fee data collection software, provides staff training, and compiles, analyzes, and reconciles the data, including solid waste volumes and tonnages for disposers, reports, or other projects.
13. Assists Solid Waste Environmental Program Manager in permit applications and reporting requirements.
14. Maintains Asset Inventory of all major solid waste purchases.
15. Manages and edits the Solid Waste Department web page.
16. Assists in Contract Management through monitoring site cameras and alerting site operators of conditions as needed.
Other Functions:
- Fills in for the Scale Attendant/Clerk at the Central Peninsula Landfill as requested.
- Other related duties as assigned.

While performing the duties of this job, the employee is frequently required to communicate orally and to use hands and fingers dexterously to operate office equipment; regularly required to sit; and occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally transport up to 30 pounds. Specific vision abilities required include close vision and the ability to adjust focus.
