Spart Parts & Maintenance Planning Specialist

Purpose of the role

The position provides administrative support to the Maintenance Lead, overseeing spare parts operations to ensure timely availability of components for all maintenance needs. It ensures accurate use of the EAM system to maintain reliable inventory records and minimize discrepancies. The role also trains and supports JTI users in the SAP Maintenance System for effective work order management, reporting any deviations to the Maintenance Manager. Additionally, it supports EHS initiatives by maintaining SDS documentation, performing regular PPE, tool, and chemical inspections, and ensuring compliance with JTI and legal safety standards. The position further assists in preventive maintenance planning, assessments, and spare parts forecasting

 

Responsibilities

  • This position supports the Maintenance Manager through the preparation of work order and spare parts reports, ensuring accurate tracking and documentation of maintenance activities. It manages inspection checklists across all frequencies, guaranteeing proper completion, filing, and communication with relevant stakeholders. The role also collaborates with the Finance team to monitor spare parts usage and assist in annual inventory counts. Additionally, it serves as the primary contact for maintenance-related purchase requisitions, ensuring timely processing and resource availability to support ongoing operations.

  • Ensure effective use of the SAP Maintenance System by training users on work order management and providing continuous system support. Monitor and validate the accuracy and timeliness of work order entries, collaborating with the Maintenance Manager to prioritize and assign tasks appropriately. Track progress and ensure that all spare parts used are properly recorded and linked to the corresponding work orders in the system.

  • Manage spare parts inventory both physically and in the EAM system, ensuring optimal Min/Max levels to support operational efficiency and budget control. Monitor parts usage, maintain availability of critical items, and analyze inventory data to identify low-rotation components. Collaborate with the Maintenance Manager to implement strategies that optimize storage space, reduce excess stock, and contain costs.

  • Supervise daily activities within the parts room, ensuring cleanliness, organization, and accurate labeling of all items. Oversee inventory movements to maintain precise tracking of supplies. Support the Maintenance Manager in monitoring Mechanical and Electrical teams through the work order system and perform additional duties as assigned to ensure smooth maintenance operations.

  • Ensure compliance with JTI safety standards and procedures in all daily activities, maintaining a clean and organized workspace in line with 5S3R principles. Collaborate closely with internal departments, vendors, and contractors to support safe, efficient, and continuous plant operations.

 

Requirements

  • Associate Degree with clerical skills or High School Diploma or equilavent with 5 years adminstrative experience prefered.

  • Minimum of 3 years experience in an manufacturing environment (prefered parts or mechanical backgorund) and people management skills (seasonal employee management).

  • Fluency in English, with good written and oral skills. Able to clearly communicate with internal and external individuals.

  • Good proficiency level in MS office applications (Excel, Word, PowerPoint). Capable to work in a deversified team environment, to manage tasks timelly and with proactivity. Good sense of organization and time management. Basic machinery maintenance and parts knowledge.
