The Payroll Specialist ensures all employees are paid accurately and on time, maintaining compliance with internal controls, company policies, and applicable laws. This role manages end-to-end payroll processing, resolves discrepancies, partners cross-functionally with Finance and HR, and safe
guards the confidentiality and integrity of payroll data.
What you'll do:
Payroll Processing & Compliance
Collect, review, and validate timesheet data from multiple sources and formats.
Process payroll accurately and timely, including wages, deductions, and adjustments.
Verify compliance with local, state, and federal payroll regulations.
Identify and resolve payroll discrepancies by collecting and analyzing data.
Maintain detailed and accurate payroll records to support audits and reporting needs.
Data Integrity & Systems Management
Enter payroll data into multiple systems, ensuring consistency and precision.
Conduct PDF conversions and file management across various formats.
Reconcile data between the system of record and employee-reported information.
Maintain system accuracy and proactively identify areas for automation or efficiency.
Cross-Functional Collaboration
Coordinate with Billing and Finance teams to ensure synchronization of payroll and invoicing processes.
Communicate effectively with employees and internal partners to resolve payroll-related questions.
Develop a strong understanding of assigned clients and their specific payroll or compliance requirements.
Uphold a professional presence and respond to all inquiries within a 24-hour timeframe.
Confidentiality & Professional Standards
Protect sensitive payroll data and maintain employee confidence at all times.
Demonstrate accountability, attention to detail, and the ability to multitask effectively under deadlines.
Exhibit professionalism and discretion in all internal and external communications.
Education:
High School Diploma or GED
Required Qualifications
2+ years of payroll processing experience in a Healthcare Staffing, corporate, or multi-site environment.
Proficiency with Microsoft 365 (Outlook, Teams, Word, and Excel).
Demonstrated accuracy in payroll processing with <1% error rate.
Ability to remain organized and meet strict deadlines in a fast-paced environment.
Strong confidentiality and ethical conduct in handling sensitive data.
Preferred Qualifications
Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or related field.
Experience with Workday or comparable HRIS/payroll systems.
Intermediate Excel skills (formulas, pivot tables, reporting).
Prior experience supporting payroll for multiple business units or clients.
Knowledge of applicable wage and hour laws.
8/10 NPR client satisfaction average or higher.
Scheduling Expectations
The Payroll team plays a critical role in ensuring all employees are paid accurately and on time. During short payroll weeks, holidays, or special processing periods, team members may be required to work outside of normal business hours, including some weekends or holidays. Flex days are provided to balance time worked and support overall work-life flexibility.
Compensation:
This is an hourly, non-exempt position with a starting pay rate of $22.00 per hour up to $25.00 per hour.
