The Research Academic Program Manager II is responsible for overseeing the operations of university wide research academic programs, managing daily tasks and group meetings, implementing events, process enhancements, and coordinating new initiatives. Areas of responsibility include: Managing Postdoctoral Services Office (80%), including facilitating communication between postdocs, faculty, and university departments, ensuring compliance with policies, and advocating for the needs of postdoctoral fellows within the institution; in collaboration with the Director of Postdoctoral Programs, essentially acting as the central point of contact for all postdoc-related administrative matters. Other areas of responsibility (20%) include coordinating Faculty Excellence Programs, Humanities, Arts, and Social Sciences Advisory Group projects, and Strategic Initiatives including research communications, coordination of data, and creating and disseminating reports.
Essential Duties and Responsibilities
Postdoctoral Services 80%
Postdoctoral Appointment Management:
Postdoc onboarding and career management, such as participating in orientation, postdoc annual evaluation processes and individual development plans
Managing postdoc job advertisements through LinkedIn
Advising faculty and academic units on postdoctoral processes and procedures
Facilitate approval of new postdoctoral appointments and re-appointments to ensure compliance
Postdoctoral Communication and coordination:
Managing postdoc mentorship programs & professional development opportunities
Maintaining open communication with postdocs, faculty advisors, department chairs, and university administrative office, such as dissemination of information regarding policies, deadlines, and program updates
Coordinate postdoctoral advisory committee meetings
Monitors currency and accuracy of information on postdoctoral services webpage and handbook
Compliance and reporting:
Ensuring adherence to university policies regarding postdoc appointments, research ethics, and safety protocols
Generating reports on postdoc activities and program metrics
Ensuring proper and confidential documentation of postdoctoral activities and progress
Advocacy and policy development:
Identifying issues impacting postdocs and advocating for solutions to improve their experience
Collaboration with relevant stakeholders on policy changes to align with National Postdoctoral Association Standards.
Faculty Excellence; Humanities, Arts, Social Sciences Advisory Group: Strategic Initiatives 20%
Research Communications
Coordinate with ORI office marketing and communications team to write and edit narrative to promote programs and initiatives related to research academic programs and strategic initiatives.
Utilize ORI office technologies for widespread messaging to university scholars.
Coordination of Data
Assist with data collection from benchmarks and academic literature related to research academic programs.
Assist with creation and dissemination of surveys for data collection to inform research academic programs and analyze results.
Create data-based reports on research academic programs as requested by internal or external stakeholders.
Dissemination of Reports
Assist with creation of dissemination products to share within university and nationally related to research academic programs.
Preferred Qualifications
Project management experience
Knowledge of National Postdoctoral Association resources and recommendations
Experience working with training programs or human resource management
Experience in event planning and coordination
Competencies
Highly organized
Ability to manage multiple
Proficiency in Microsoft Outlook, Teams and Office Suite
This position is funded by research Facilities & Administration (F&A) support. Employment is contingent upon funding availability.
Compensation will be commensurate to candidate experience.
