Position Overview: 



The Accounting Clerk at Pref-Tech will be responsible for supporting the accurate and timely processing of accounts payable, payroll, and general accounting functions. This role will ensure financial transactions are recorded efficiently and in alignment with company policies and deadlines. The ideal candidate will maintain precise records, assist with vendor and employee communications, and contribute to a collaborative team environment. Additional duties and responsibilities may be assigned as required. The Accounting Clerk will play a key role in optimizing cash flow, supporting compliance, and upholding Pref-Tech’s core values in all interactions. This includes, but is not limited to the following functions:



Key Responsibilities:

 

The following are tasks that the position is responsible for but not limited to.



Accounts Payable Support

  • Assist in the accurate and timely recording of vendor invoices, ensuring alignment with month-end close timelines.
  • Monitor product receipt reports to ensure no outstanding receipts exceed 10 days.
  • Ensure vendor balances do not exceed 15 days past due without proper approval.
  • Take advantage of available vendor discounts to optimize cash flow.
  • Verify all vendors have valid W-9 forms on file.
  • Perform day-to-day AP transactions including verifying, classifying, computing, posting, and recording payable data.
  • Prepare and record bank deposits and ACH transactions.
  • Send payment remittance and coordinate with vendors to ensure timely invoice settlement.
  • Email welcome or introduction messages to new vendors to establish strong working relationships.

Payroll Support

  • Support the internal process for employee timesheet submission and approval.
  • Assist with payroll upload and approval, ensuring submission to the bank by 2 PM every Tuesday.
  • Complete employment and income verifications as requested.

General Accounting & Administrative Duties

  • Generate statements and reports detailing AP and payroll status.
  • Distribute incoming mail and route documents appropriately.
  • Maintain accurate and auditable records for all financial transactions.
  • Build high-trust relationships across departments and contribute to a collaborative team environment.
  • Demonstrate cultural alignment with company core values in all responsibilities and interactions.
  • Continuously seek opportunities to improve processes and enhance operational efficiency.
  • Perform other tasks as assigned by the Accounting Manager or Controller.

 

Required Qualifications:

  • Minimum 3 years’ experience in accounting.
  • Ability to work independently with multiple people at many levels and work as part of a team.
  • Excellent time management skills to prioritize and manage multiple requests from various avenues, and the ability to change direction in response to fluctuating circumstances.
  • Strong data management and reporting skills, especially in Excel or BI tools.
  • Proficiency in MS Office (especially Excel, PowerPoint, Word)
  • Attention to detail and problem-solving abilities.
  • Ability to manage responsibilities independently and drive tasks to completion with minimal supervision while delivering high-quality results.
  • Customer-service orientation and ability to manage deadlines.



Preferred Qualifications:

  • Associate’s degree or equivalent experience.
  • At least 3 years of accounts experience.
  • General knowledge of Accepted Accounting Principles.
  • Previous experience with an ERP (Microsoft Dynamics 365 preferred).

Work Hours & Travel: 

Our office hours are from Monday – Friday, 8:00 a.m. to 5:00 p.m. This role is Hybrid - 2 days in the office and 3 days working from home. Please note that working from home is a privilege and may be changed or modified at any time based on business needs or performance considerations.
