REPORTS TO: Accountant
JOB SUMMARY: The Accounting Assistant is responsible to support the finance and accounting department by performing various clerical and accounting tasks. This role is vital in maintaining accurate financial records, processing transactions, and ensuring the smooth operation of financial activities within the organization.
QUALIFICATIONS: Must complete probationary period successfully. Must be able to be flexible and work alone if necessary. Must be able to solve problems through critical thought process. 1-2 years of experience in accounting or bookkeeping is preferred. Proficiency in Microsoft Systems: In-depth experience with Microsoft Excel, Work and Outlook is helpful. Comfortable using these tools for daily tasks and reporting.
DUTIES:
The Accounting Assistant will be responsible for the below job duties including but not limited to:
- Manage accounts receivable, including resident billing in ALIS, collections, and payment processing.
- Generate and send invoices to residents and third-party payers.
- Record billing details in QuickBooks Online (QBO), spreadsheets, and payment portals for approval.
- Receive and post resident payments within QBO.
- Conduct collection calls to ensure timely receipt of outstanding payments.
- Oversee resident financial accounts and address billing concerns with residents and families.
- Generate census and unit availability reports.
- Process accounts payable invoices accurately and ensure timely payments.
- Enter and code invoices in QuickBooks Online according to established procedures.
- Track purchase orders and maintain vendor relationships.
- Process vendor payments within QBO.
- Communicate with vendors regarding inquiries or discrepancies.
- Enter all bank transactions into QBO and maintain accurate records.
- Perform monthly bank reconciliations to ensure consistency between bank statements and company records.
- Investigate and resolve discrepancies promptly.
- Prepare monthly financial reports and assist with budget forecasting.
- Track expenses and provide data to support financial decision-making.
- Assist in preparing internal and external financial statements.
- Assist in preparing documentation for internal and external audits.
- Gather, organize, and maintain supporting financial documentation.
- Ensure compliance with company financial procedures and guidelines.
- Review and process employee expense reports in accordance with company policies.
- Verify documentation and prepare reimbursement checks.
- Provide administrative support to the finance and accounting team.
- Assist with special projects and perform all other duties as assigned.
PHYSICAL REQUIREMENTS:
- Must have the ability to regularly sit, occasionally required to kneel, crouch, and stand.
- Occasional twisting and reaching above or below shoulder height.
- Occasionally push or pull office equipment weighing up to 25 pounds.
- Must be able to read, write, and communicate effectively.
