The Office Assistant VI provides administrative and clerical support for the Student Disability Services (SDS) office, which is responsible for overseeing accommodations and services for students with disabilities, including: Health, Hearing, Vision, Psychiatric, Physical, Mobility, Learning Disabilities, Temporary, and AD/HD.The Office Assistant VI works under minimal supervision and provides comprehensive administrative support for the Assistant Director of SDS and the SDS program, including resolving the most complex operating problems.
The Office Assistant VI reports to the Assistant Director of Student Disability Services.

Job Responsibilities
Office Duties
Oversees and provides office reception (e.g. answers phones, greets and problem solves with University students, staff, faculty, parents and other office visitors, and directs inquiries to various campus resources for assistance)
Gathers and organizes initial demographic, academic, and disability-related (confidential and sensitive) information and documentation for students inquiring about services provided through SDS
Performs general office duties (e.g. submitting, maintaining, and managing office supplies, processing invoices, and developing/distributing appropriate information to students)
Assists with the monitoring and tracking of office expenses (e.g., student salaries, office supplies, assistive technology purchases, independent contractor expenses, processing invoices, etc.)
Provides administrative and clerical support to the SDS program (e.g. maintains student database and SDS student data, does file maintenance, and generates communications)
Monitors and maintains the SDS general email account
Acts as the Gleeson Library Building Marshall. Duties include updating department safety and emergency procedures/preparedness, checking safety equipment (AED), and attending Building Marshall trainings
SDS Support
Provides administrative and clerical support to the Directors of SDS (e.g. schedules appointments/meetings, takes meeting notes, answers phone calls/inquiries on behalf of Directors)
Meets with incoming, prospective students and families to triage their needs and answer their questions regarding Student Disability Services, as well as general questions about USF
Provides on-going training to SDS students/faculty/staff on how to use and access the SDS database for requesting services & accommodations (e.g. scheduling exams, submitting testing contracts, submitting alternative format requests, etc.)
Assists with hiring, training, scheduling, supervising, and monitoring of SDS student assistants
Coordinates exam proctoring and implements exam accommodations based on departmentally determined accommodations (e.g. scheduling/proctoring exams, maintaining exam security, assists with coordinating final exams)
Assists with the management and implementation of captioning videos for the D/deaf & Hard of Hearing Students
Coordinates hiring and scheduling duties for sign language interpreters and real time captioners for D/deaf & Hard of Hearing students (e.g. managing contingent workers through OneCard, providing prep materials, assisting with onboarding, facilitating One Card access, etc.)
Coordinates adaptive/alternative media accommodations and other complex technology (e.g. converting course documents into alternate formats, installing assistive technology, working with vendors, and maintaining university licenses to technology, etc.)
Develops and maintains contact with vendors and alternative media companies to anticipate future needs and changes
Assists SDS and disability specialists in working with the Public Safety and Facilities Management offices to ensure campus accessibility for disabled students (e.g., helps monitor transportation services, elevator and lift maintenance, and furniture requests)
Represents SDS and USF during on-campus resource fairs or Campus Visit days and acts as SDS office liaison with outside vendors and other departments on campus
Edits and maintains the SDS website; coordinates with Web Services for assistance with this as needed
Executes the implementation of accommodations as is consistent with the university mission and the Americans with Disabilities Act
Resolves conflicts and concerns as they arise in the absence of supervisors
Performs other duties as assigned
Minimum Qualifications
Post high school education preferred
Training or experience equivalent to four years of increasingly responsible work experience or related education
Excellent customer service skills
Excellent skills in oral and written communication
Flexibility and openness to working with individuals with diverse communication and work styles
Sensitivity to a wide variety of student issues (e.g. disability-related, crises, etc.)
Experience organizing administrative systems
Experience with data entry, and word processing
Excellent computer skills; proficiency in Adobe Acrobat, Microsoft Access and MS Word and PowerPoint in both PC and Macintosh environments
Basis MS Excel and spreadsheet experience require
Ability to handle multiple tasks and to work in a dynamic office setting required
Ability to work well independently and within a team
Strong customer service orientation
