Job Description:

  • The Clinical Operations Manager is responsible for helping to oversee the daily operations of our medical practice, with a primary focus on clinical services, administrative functions, and patient care. This role involves managing the administration of innovative treatments, such as Transcranial Magnetic Stimulation (TMS), and supervising office personnel alongside other management staff. As a key member of our team, you will contribute to the mission of making our practice a center of excellence for psychiatric care.

 

Responsibilities:

Clinical Operations:

  • Oversee Transcranial Magnetic Stimulation (TMS), intra-nasal ketamine, and IV ketamine treatments, ensuring the highest level of patient care.
  • Manage a team of behavioral health technicians, providing leadership and support to enhance their performance.
  • Oversee daily administrative operations to optimize the workflow and efficient movement of patients in and out of the office.
  • Keep up-to-date with current research on clinic treatment techniques, working with the Doctor to streamline procedures and develop innovative customization of treatments.

 

Administrative Duties:

  • Obtain TMS and Spravato authorizations from insurance companies.
  • Prepare patient volume reports accurately and in a timely manner.
  • Along with other management staff, ensure compliance with all center policies, regulatory requirements, and applicable laws, including HIPAA and other healthcare regulations.
  • Collaborate with the Patient Account Manager on matters related to billing, insurance updates, and collections.

 

People Management:

  • Supervise and lead neuromodulation staff, handling personnel requisitions, recruitment, onboarding, performance evaluations, and staff development.
  • Conduct daily huddles and weekly staff meetings to foster a positive working environment and address any issues promptly.
  • Promote an excellent rapport with personnel in all operational departments of the practice and within the medical community.

 

Patient Care and Satisfaction:

  • Facilitate efficient workflow patterns to maximize provider schedules and ensure optimal patient care.
  • Monitor and enhance patient satisfaction, community relations, and customer service programs.
  • Address patient complaints or concerns in a timely and professional manner, aiming for continuous improvement.

QUALIFICATIONS:

  • Education: Master's level in neuropsychology/Neuroscience, Biomedical science, advanced RN/MSN, MBBS, life sciences with particular interest in brain stimulation and Ketamine assisted treatment. 
  • At least one year of experience in a medical or mental health setting preferred.
  • CPR certification, ACLS preferred
  • TMS Clinical Training Certification will be provided.

 

WORK SCHEDULE:

  • Full-time, M-F, late hours maybe required.
  • On-site required
