SUMMARY:
This position is working high-volume in a fast-paced environment. Project coordinators work a multifaceted position, working with both customers and vendors to develop a timeline, create schedules, and oversee progress of work to meet the customers’ expectations. These professionals must be self-starters and extremely organized. They are responsible for coordinating all aspects of their project, ordering materials from suppliers, scheduling meets with different trades, ordering lifts, communicating to all parties, submitting quotes to the customer, reviewing reports and pictures, continued reporting for on time delivery, as well as refining processes and procedures. All other duties assigned by management.
DUTIES AND RESPONSIBILITIES:
- Works in the customer email box which is the main thoroughfare of communication for the customer.
- Provides timely responses to customer inquiries by both email and third-party system communication.
- Maintains service order database.
- Monitor service orders and customer third party systems ensuring on time completion and updates.
- Completes as needed administrative tasks.
- Acts as Telgian's front line communication for time sensitive scheduling and dispatching of service orders.
- Committed to communication of details involving the creation and delivery of on time service orders and receipt of contractor paperwork.
- Inbound and Outbound calls.
- Works directly with the contractors and customers in a cross functional team environment.
- Continuous follow up on resolution resulting in exceeding customer expectations.
- Receipt of customer service requests and creation of service orders for dispatch.
- Customer and Supplier facing role in a high-volume environment.
- Ensures the service order has been effectively dispatched and accepted by the most qualified vendor and confirms work will be completed on, or before, the designated Anticipated Completion Date (ACD).
Qualifications
- Bachelor's Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.
- Computer skills required: Microsoft Office Suite; Microsoft Dynamics AX
- Other skills required:
- 0-3 years of Fire, Life, Safety experience preferred
- 0-3 years of previous Account Management, Dispatch and/or Service Order experience preferred
- 0-3 years of Customer Service
