General Summary
The Food, Beverage & Events Coordinator is responsible for supporting employee services with a primary emphasis on event coordination and food and beverage services across the studio. With a strong focus on culinary logistics and vendor management, this position is key in providing a positive customer service experience for employees and visitors in a fast-paced production environment.
Job Functions
- Act as the primary point of contact with vendors for all studio food and beverage services including catering, pantry, and grab & go offerings, as well as maintaining inventory, restocking, and purchasing goods (e.g., ice, sodas, alcohol, snacks, grab-and-go fridges, etc.).
- Serve as official logistics point of contact for all VIP guests and production/department events with direct collaboration with People & Culture, Marketing, Admin Services, DEI groups, as well as all LAIKA employees in need of event assistance.
- Submit catering orders and coordinate with vendors for recurring employee events such as Friday Party and Studio Breakfasts.
- Coordinate with vendors to ensure consistent service, troubleshoot issues, and elevate the culinary experience across the studio.
- Prepare, coordinate, and update all internal and external communications, flyers, and event bookings related to admin services events.
- In partnership with People & Culture, support all event planning, preparations, and “day of” execution, as well as overall breakdown/reset.
- Organize events calendar and collaborate with the Employee Services and Facilities Assistance teams on event assistance/coverage, as well as create and manage event intake forms.
- Maintain organization of food and beverage event supplies and storage closets and conduct monthly inventory of event party supplies and restock items when needed.
- Track food and beverage and vendor invoices, reconcile discrepancies, and submit for approval.
- Run errands to assist with on-the-ground logistics to support food service and event execution.
Qualifications
- 1 - 3 years’ experience in food and beverage and/or coordinating live events with a strong emphasis in customer service.
- Strong planning, time management, and organizational skills with meticulous attention to detail.
- Proficient with Microsoft Office.
- Demonstrated ability to prioritize, work well under pressure, and meet tight deadlines.
- Ability to work both individually and collaboratively.
- Ability to troubleshoot in a variety of situations while being resourceful in determining solutions.
- Strong written and verbal communication skills, including the ability to work with all levels within the organization.
- Valid Driver’s License with proof of insurance and access to a reliable vehicle for running errands, required.
- Must be able to legally purchase alcoholic beverages.
- Oregon Food Handler’s Card, or ability to obtain one.
