Job Summary   
The Deputy Director of Administrative Services is a senior management role responsible for assisting the Director in planning, organizing, and directing departmental operations to ensure the efficient functioning of City Hall and all Mayoral offices. This position supports key areas such as logistics, procurement, vendor relations, event coordination, equipment and vehicle management, and budget monitoring. The Deputy Director provides day-to-day leadership and supervision of administrative functions, ensures compliance with regulations and city policies, and contributes to the department’s strategic planning and process improvement efforts. Acting as the Director’s principal support, the Deputy Director helps drive operational excellence and fosters a culture of service, accountability, and collaboration.

Essential Functions    

  • Coordinate and collaborate on internal operations with other City departments, external partners, and key stakeholders.
  • Oversee daily operations, manage staff performance, and ensure the department operates efficiently and responsively.
  • Assist the Director with long-term strategic planning, goal setting, and addressing complex organizational challenges.
  • Work flexible hours, including evenings and weekends, as needed to meet operational priorities.
  • Ensure departmental programs, policies, and processes comply with local, state, and federal regulations.

Minimum Qualifications


Education: Have a bachelor's degree in business administration, Public Administration, Management, or a related field required. Master’s degree preferred.

AND

Experience: Have five (5) years of minimal experience in administration, operations, procurement, or logistics, preferably in government or a large organization.

OR

Equivalency Notes: Have an equivalent combination of education and experience.
 

Knowledge, Skills, and Abilities    

  • Strong organizational, analytical, and leadership skills.
  • Excellent written and verbal communication abilities.
  • Demonstrated experience managing staff and coordinating cross-functional operations.
  • Knowledge of budgeting, procurement, and compliance practices.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Ability to handle confidential information with discretion and sound judgment.
  • Commitment to professionalism, integrity, and public service.

Additional Information 

Background Check  
Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening and must be successfully completed.

Probation    
All persons, including current City employees, selected for this position must complete a 6-month mandatory probation.
