POSITION SUMMARY: Facilities Administrative Assistant
This roll is a PRN position
ESSENTIAL RESPONSIBILITIES:
Computerized Maintenance Management System, CMMS, System Maintenance
- Enter, update, and maintain accurate records of all facility and optometric equipment assets within the CMMS.
- Record detailed asset information including make, model, serial number, purchase date, warranty, and maintenance schedules.
- Upload manuals, calibration certificates, service logs, and equipment photos into the CMMS system.
- Assist with creating and maintaining preventive maintenance task templates specific to eye care equipment (exam chairs, slit lamps, phoropters, etc.).
Asset Inventory Coordination
- Conduct regular physical inventories of assets across clinical, surgical, and administrative locations.
- Reconcile inventory discrepancies between physical locations, CMMS data and financial data.
- Track equipment additions, relocations, and disposals to maintain an accurate database.
- Coordinate with vendors, regional managers, and clinical staff to gather missing asset data and documentation.
- Assist in tagging and labeling new equipment for proper identification and tracking.
- Help develop and document standard operating procedures for asset data collection and CMMS entry.

EDUCATION AND EXPERIENCE:
- High school diploma or equivalent required.
COMPETENCIES:
- Exceptional attention to detail and accuracy.
- Proficiency in MS Excel, Word, and Outlook; familiarity with cloud-based file management systems.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work collaboratively with clinical, administrative, and vendor teams.
PHYSICAL DEMANDS AND WORK ENVIRONMENT (per ADA guidelines):
- Physical Activity: Talking, Hearing, Repetitive motion.
- Physical Requirements: Sitting, standing, bending and lifting and/or moving objects up to 50 pounds.
- The worker is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned.
- Travel is required for this position and requires a valid driver’s license.
