Job Description Summary
The Facilities Coordinator plays a vital role in supporting the day-to-day operations of the Facilities Management (FM) team. This position is responsible for a wide range of administrative, operational, and logistical tasks that ensure the smooth functioning of the workplace. The Facilities Coordinator serves as a key liaison between internal teams, external vendors, and property management, helping to maintain a safe, efficient, and well-organized environment.
Job Description
Perform reception duties, including multi-line telephone and visitor management
Assist Facility Management Team with tactical planning for the team’s goals and objectives
Monitor expiring contracts and facilitate renewals as necessary
Process security badge applications and access requests
Create and manage purchase requisitions for Facilities
Administer and monitor work orders, and run reports as needed
Assist with budgetary requests, analysis and reporting
Provide administrative support to FM team
Order office supplies and office furniture
Process incoming and outgoing mail
Manage Procurement card for Facilities
Participate in special projects as needed
Communicate with supplier partners as needed to set up new accounts and manage work orders
Interact with landlords or 3rd party suppliers as needed to ensure integration of work orders
Receive and process invoices through SAP
Manage utility billing and document energy consumption
Coordinate with Safety team on EAP process and trainings
Assist with record coordination and retention
Update floorplans and seating charts as needed
Basic & Preferred Qualifications
Education and Experience
High school diploma or GED equivalent required, Associate's degree (A.A.) or equivalent from two-year College or technical school preferred
Three years related experience
Proficient with Microsoft Office and SAP
Key Skills and Competencies
Ability to maintain regular on-site Monday-Friday, 8AM-5PM schedule, with time off scheduled according to company time off and leave policies
Be an efficient planner who understands the importance of each process and prioritize it according to the degree of importance
Ability to communicate in a clear, concise, and effective manner with people at all levels (internally and externally)
Be a self motivated individual who can also encourage other staff to achieve assigned goals
Be a stress resistant individual who can deliver excellent performance under high work pressure
Ability to handle confidential issues with utmost discretion

A reasonable annual estimate of the range for this role based on the variables previously mentioned is: $48,340.00 - $72,500.00
