Overview:

The Partnerships & Client Engagement Coordinator is primarily responsible for assisting the Global Partnerships & Events team with communicating and driving engagement and awareness of Private World & XO partnerships, access and events with Vista Members & Prospects. Primary focus on Nth America region.

 

Reporting to the Global Partnerships & Events Director, the successful candidate will also work closely with the entire Global Partnerships & Events team and greater Vista team to support Event delivery, Partnership relationships, internal and Member communications.  Primary focus on Nth America region.

 

This role requires someone who enjoys a fast paced and dynamic work environment, can collaborate with teams across the global business, is pro-active and can work autonomously and is familiar with the ultra-luxury market.

Responsibilities:

Client engagement and travel/lifestyle requests:

 

  • Responsible for managing the Events and Partnerships inbox for VistaJet and XO. Including, responding to enquiries, event RSVPs and any other Member or internal enquiries regarding Partnerships, Sponsorship activations & Events.
  • Liaising with our Client Services team to fulfil Member travel & lifestyle requests and ensure high level standard of partner recommendations and service.
  • Integrating partner opportunities within the booking process for both VistaJet and XO.
  • Prepare experiences proposal decks for Members.
  • Pro-actively informing Members of existing partnerships, events and benefits as part of their onboarding and renewal processes. Tracking all enquires, requests and revenue within Salesforce.
  • Project management of Vista’s Member newsletters including liaising with partners and working with the wider Marketing team.
  • Working with the Partnership Manager to suggest newsletter content inclusions provided by partners and the Events team.


Supporting our strategic partnerships:

 

  • Supporting the Partnership Manager across a wide range of partner accounts, including travel partners, luxury brands, lifestyle brands, financial institutions, family offices and more.
  • Helping to identify and vet partnerships opportunities for VistaJet and XO through active research and inbound leads.
  • Scheduling and supporting on 3 – 6 months’ check-in with partner accounts.
  • Supporting on Partnership agreement processes, content generation and curation across Private World channels.
  • Working closely with the Marketing team to curate partner content relating to travel campaigns and experiences.
  • Helping develop the partner content presented on VistaJet & XO platforms, including websites , newsletters, and social media.
  • Updating our Private World & XO Destinations, Experiences and Events web pages to drive engagement.

Events:

 

  • Supporting and contributing to the calendar of partner activations.
  • Supporting on sourcing partner event opportunities and presenting them to clients.
  • Working with the Events team to manage event communication to Members and prospects.
  • Leading on the curation of guest lists and guest list management of Member and partner events, in collaboration with the global Events and Sponsorship team.
  • Keeping ambassadors engaged and updated on all opportunities to introduce new prospects.
  • Supporting internal communications regarding events for Members, prospects and ambassadors.

Financial and reporting:

 

  • Working with Finance team to ensure all payments are timely invoiced and collected.
  • Support reporting sent to partners on success of each campaign and provide evidence of services offered as per contractual agreement.
  • Contributing to monthly report for Executive Committee, to keep them abreast of Private World’s successes and pipeline.

 

Perform any other tasks reasonably required to be undertaken in accordance with the instructions of the Reporting Manager.

Required Skills and Experience:

 

  • Experience working in Partnerships & Marketing position prior.
  • Previous experience working with luxury brands/partners an advantage
  • Excellent communication skills, both orally and in writing.
  • Must be willing to periodically travel for work, including ground and/or air travel.
  • Occasional weekend work may be required for selected events
  • Proficiency in MS suite tools required.
  • Experience working with a sales CRM a plus.
  • Proficiency with various social media platforms a plus.
  • Bachelor’s Degree strongly preferred.
