Education

  • A high school graduate or equivalent is required.

Experience / Qualifications

  • A minimum of 1 year of experience in customer relations, scheduling, and/or office management.
  • A minimum of 1 year of experience in insurance verification and authorizations.
  • Knowledge of computer scheduling programs/software, and general computer skills.
  • Must be able to multitask job responsibilities and function with minimal supervision.
  • Experience working in a hospital setting with busy phones is preferred.
  • Proficient in Epic’s new gallery fax retrieval system.

Position Summary

The Scheduling Coordinator will be responsible for the accurate scheduling of all surgical procedures in the GI Lab and Pulmonary procedures, and coordinates with all other resource providers (i.e., Anesthesia), according to provider preferences. 

  • Calls patients to schedule procedures.
  • Cancels and reschedules procedures as necessary and documents reason codes/notes.
  • Troubleshoots scheduling conflicts.
  • Utilize Epic Scheduling System
  • Collects demographic and insurance information to properly create patient visits.
  • Work closely with the Insurance Verification Department to ensure proper authorization is obtained.
  • Prepare patient charts, attaching patient history and physicals from doctors’ offices.
  • Coordinate resources, including assistants and equipment for surgical procedures.
  • Works closely with Radiology and other departments for equipment and supplies.
  • Calls doctors’ offices weekly to review schedules.
  • Communicates directly with physicians, ensuring a complete understanding of the patient's needs with the timing of length of the procedure.
  • Send weekly emails to confirm scheduled procedures.
  • Notifies all reps regarding special procedures that the doctor may require further assistance.
  • Schedules “Add on procedures” for the next day and communicates them to the Core Nurse.
  • Utilize Case Check to schedule Vendors for procedures.
  • Organize any faxes coming over from the MD offices.
  • Works with the Volunteer Supervisor to help maintain volunteers’ schedule.
  • Stocks blanket warmers and refreshment refrigerator as needed.
  • Transports patients for discharge via wheelchair as needed.
  • Works with Foundation to make sure we document if the patient is a hospital donor.
  • Performs other duties as assigned.

Physical Requirements

Requires sitting for long periods of time, also stooping, bending, standing, and stretching. Must have manual dexterity for typing and computer data entry.  Able to work under a stressful environment, work independently, capable of making sound decisions, be detail oriented, alert, and self-motivated. Ability to push/pull up to 40lbs., carry and lift up to 20lbs.

    • Annual Joint Commission mandatory education requirements, in-service and health requirements including attendance at new employee orientation
    • TB/PPD Surveillance Program
    • Maintenance of required professional licensing and/or certification(s).
