Receptionist II
The Receptionist is responsible for answering all incoming phone calls to the branch and routes to the appropriate person or department via PBX board. In addition, this position is responsible for the professional and efficient managing of visitors, vendors, and a variety of clerical duties that support the branch, including distribution of incoming mail, and preparing outgoing mail and pouches as needed. Reports to the Warehouse Manager.
The Receptionist is also responsible for reporting and escalating any customer related issues to the Warehouse Manager.
Essential Duties and Responsibilities

Customer Relations:
- Answers, screens, and directs phone calls to staff.
- Greets clients, visitors and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Assist with client tours of facility.
- Ability to work effectively in a team environment as a positive team player.
- Requires flexibility to adapt to changing customer and staffing needs, with a cooperative attitude.
- Maintain excellent customer service with the customers, sales, transportation, and operation teams to establish solid relationships.
- Expedite the resolution of customer problems and complaints to maximize satisfaction.
- Must be punctual at all times. If an emergency arises, inform the Manager immediately, so that appropriate coverage can be arranged.
- Must be courteous, helpful, and professional to all existing and potential internal and external customers.
Administrative:
- Performs administrative and clerical support tasks.
- Compose confidential correspondence, reports and presentations on behalf of management.
- Organize employee engagement for the department.
- Maintain Conference Room calendar for trainings and meetings.
- Provide accurate inventory information to customers.
- Filing WD and TR files alphabetically by customer. Finding missing files as required.
- Oversees office equipment maintenance including but not limited to: Copy machines, printers, fax machines, and postage equipment.
- Distributes incoming mail to appropriate person or department daily.
- Prepares all outgoing mail and inter-branch pouches as needed.
- Exchanges data tape in server room daily.
- Maintains and orders all office and kitchen supplies and keeps supplies well stocked.
- Makes daily transportation check calls to clients for tomorrow’s work.
- Gather and send out marketing materials, proposals and other sales related information to prospective customers as requested by sales manager.
- Perform work with quality, efficiency and safety at all times.
Training:
- Provide input and direction to teammates on enhancing the customer services.
- Participates in weekly training for admin staff.
- Promote Corovan’s Mission and Vision Statements.
- Continuously promotes compliance with company policies and procedures.
Other duties:
- Must follow all confidentiality and chain of custody rules for all client data and items.
- Other duties may be assigned, as needed or warranted, by management.

Education and/or Experience
Required
- High School Diploma or GED; or equivalent combination of education and experience.
- 2-4 plus years’ related receptionist and/or customer service experience in an office environment.
- Possess telephone sales with intelligence and problem solving skills.
- Understanding relevant software systems such as Windfall, Corovan’s Web Portal and Order Entry.
- Intermediate level of skill MS Office including Word, Excel, and Outlook.
- Ability to type at least 45 WPM without error.
Preferred:
- 1-2 years’ experience handling high-volume calls in a reception environment.
- Experience integrating within a team in high-demand, customer-facing environments.

Work Environment

Position Type
- This is a full-time position, with a minimum expectation of 40 hours per week.
- Employees might be required to work late evenings or weekends depending on the business needs.
