Job Summary 

 

The Lead Medical Assistant - FLOAT plays a pivotal role in our Primary care healthcare settings by combining clinical expertise with leadership and supportive responsibilities. Serves as a resource to other clinical support staff, MA, LPNs offering clarification on processes, procedures, and skills as needed and able. Provides clinical training and assists with new staff to ensure familiarity with clinical policies/procedures of HFHC. Helps to coordinate clinical workflow, ensuring essential components and activities of the day are executed and documented, keeping accurate records of activities supporting all healthcare measures and regulations. Ensures and participates in the delivery of compassionate, effective, and high-quality care for patients. 

 

Qualifications / Requirements 

  • High School diploma or equivalent required, Associate's degree preferred 

  • At least two years of medical office, clinic, or hospital experience required 

  • Two years of leadership or training experience is preferred 

  • State of Florida MA/CNA/LPN Certification, CPR /BLS required 

  • Strong knowledge of medical terminology, procedures, and equipment. 

  • Proficiency in EHR systems and clinical workflow optimization. 

  • Leadership, communication, and multitasking abilities. 

  • Demonstrates knowledge and understanding of patient privacy rights.  

  • Professional and customer-focused demeanor 

  • Ability to work with others in a spirit of teamwork and cooperation 

  • Ability to adapt easily to changing conditions and work responsibilities 

  • Ability to influence others to perform their jobs effectively and to be responsible for working with the CNM when making decisions. 

Essential Functions 

  • Greets patients and visitors in a friendly, professional manner. 

  • Completes all tasks as outlined in EMR (i.e., jellybeans) when in staffing. 

  • Provides coverage for providers and specialty areas when needed. 

  • Works as a member of the clinical leadership team. 

  • Provides feedback to the Center Nurse Managers and/ Senior Leaders on the clinical activities relating to daily workflow. 

  • Assists with assigning team members work schedules in collaboration with the Center Nurse Managers. 

  • Provides oversight on daily work performance of clinical team to ensure duties are completed accurately, efficiently, and timely, and that all policies and procedures are followed; reports any issues to the Center Nurse Managers. 

  • Serves as a resource to other clinical support staff, answering questions and offering clarification on processes or procedures, as needed and able. 

  • Complete safety checks, including AED /Crash cart daily, ensuring adherence to safety, cleanliness, and regulatory standards.  

  • Trains/assists with training plans for new staff to ensure familiarity with clinical policies/procedures of HFHC. 

  • Direct Patient Care: Takes vital signs, administering injections, drawing blood, and assisting with minor surgical procedures. 

  • Assists with patient flow to ensure patients are seen timely and efficiently. 

  • Medication Administration: Administers medications via various routes (oral, topical, rectal, ophthalmic, etc.) and vaccines. 

  • Assists clinical support staff and providers as needed by returning patient calls and completing provider orders such as medication refills, performing venipunctures/finger sticks, or other CLIA waived testing. 

  • Patient Triage: Assesses and prioritizes patients based on severity of symptoms 

  • Conducts and/or assigns team members to complete daily controls on machines, ensures machine logs are current and within compliance, ensures medications in code carts are not expired and/or are present according to what is listed on log, and reports any concerns to Center Nurse Managers. 

  • Assists physicians and nurses during patient examinations and procedures. 

  • Serves as a backup for clinical team members in the event of staffing needs. 

  • Attends team meetings and routinely attends and/or conducts team huddles; emails team huddles to Center Nurse Managers. 

  • Attends periodic training sessions and meetings pertinent to the position. 

  • Maintains CPR certification. 

  • Maintains patient confidentiality and protects operations by monitoring confidential information processing-maintaining strict adherence with all HIPAA regulations. 

  • Places supply orders, monitors inventory for vaccinations, monitors vaccine expirations, vaccine compliance through the Florida Shots online system based on vaccination usage and inventory on hand. 

  • Collaborates with the vaccine manager regarding vaccine needs per site. 

  • Reviews and uploads temperature logs on vaccination refrigerators and freezers to maintain compliance with Florida Shots, identifies and sees that any excursions are reported promptly. 

  • Oversees and/or assists with weekly vaccine inventories on all vaccines and sees that they are completed and recorded appropriately on vaccination logs. 

  • Performs chart audits weekly and keeps records of audits completed. 

  • Assists team with keeping fax inbox low and/or validates team is working on this responsibility during down time. 

  • Exhibits and leads by example of punctuality, dependability, and work habits. 

  • Oversees and maintains clinical supply inventories by studying usages reports; identifying trends; and anticipating needs; places orders for sites and submits for purchasing. 

  • Investigates and resolves minor patient complaints related to clinical staff, escalates larger complaints to the Center Nurse Manager. 

  • Performs all other duties as an MA and those assigned by Center Nurse Manager. 

  • When coverage is needed, the employee travels to other assigned clinics and completes required tasks of position. 

Physical Requirements 

  • While performing the duties of this job, the employee is regularly required to talk and hear. 

  • This position is very active and requires standing, walking, bending, kneeling and stooping all day, but may also involve long periods of sitting or computer-based work. 

  • This employee must frequently lift and/or move items over 30 pounds. 

  • Must be able to lift, carry and handle equipment, supplies and other work site materials according to position requirements.
