SUMMARY
Oversee and coordinate the activities of the service team to ensure client commitments are fulfilled while embodying the core values of Total Comfort Solutions. Manage client interactions related to service delivery and repairs and support the Service Manager in maintaining an efficient office environment. Collaborate with the service team and accounting to ensure accurate and timely billing. Drive spot sales alongside the service team and assist the Management team as needed to enhance departmental efficiency. Demonstrate the ability to grow in the role by leading others, understanding the business, and proactively managing the operational budget.
PRIMARY RESPONSIBILITIES
- Offer support to the Client Coordinator as needed.
- Organize and manage all contract files.
- Initiate new contract agreements and tasks and update them as contracts evolve.
- Keep asset lists current.
- Maintain primary and secondary assignments for all contracts.
- Track and report on PM backlog.
- Prepare and distribute the on-call schedule for after-hours service.
- Audit jobs and purchase orders and perform data entry as required.
- Service Review jobs to ensure costs distributed appropriately
- Generate job reports
- Post purchase order receipts
- Oversee the Refrigerant Management program, including emailing refrigerant reports to customers, distributing and tracking refrigerant movements.
- Generate customer invoices and obtain purchase orders when necessary.
- Assess repair requests, prepare quotations, and follow up with clients to drive spot and extra work.
- Support field personnel by coordinating and troubleshooting issues related to handhelds, equipment, materials, tools, and logistics.
- Maintain awareness of parts and tools availability and utilization. Locate, purchase, and coordinate equipment to best meet the needs of field personnel.
- Manage material purchases, including ordering and expediting to ensure timely delivery.
- Build and maintain positive working relationships to enhance job performance and achieve company goals.
- Perform other duties as assigned.
Additional Responsibilities
- Maintain Comprehensive Client Record (CCR).
- Assist the sales team as needed.
- Support special projects as assigned, which may or may not become part of the primary responsibilities of this position.
KNOWLEDGE AND SKILL REQUIREMENTS
- Preferred: Associate's Degree in Technical/Business or equivalent.
- Required: High school diploma or GED equivalent.
- Dispatcher experience required (not limited to HVAC).
- Excellent interpersonal and professional skills.
- Strong written and verbal communication skills.
- Ability to foster and promote a positive and enjoyable team environment.
- Proven leadership skills (this can include leading a team in the past, a church project, coaching, etc. – not necessarily managing a group of people).
- Comfortable with embracing, working with, and teaching new technology.
- Proficient in Microsoft Suite (Word, Excel, Outlook).
- Strong organizational and time management skills.
- Problem-solving mindset.
- Strong work ethic.
WORKING CONDITIONS
Working conditions consist primarily of an office environment and infrequently those typical for the field of HVAC which may include exposure to weather conditions and require a limited level of physical activity. Job may require occasional weekend and/or evening work.
