Description:
The Office Manager is responsible for overseeing the daily operations of an office of 135 on-site employees and promoting a positive company culture. The role involves taking care of visitors, office areas, and employee wellness. This person will be expected to be on-site at our Fremont office Monday to Friday from approximately 8am - 5pm.
Primary Responsibilities include:
- Welcome and assist visitors and vendors, ensuring a professional and positive experience, monitoring the front desk at all times, using Ring and Brivo systems to manage access when away from the desk
- Manage office and pantry vendors, conducting regular check-ins to ensure offerings meet employee needs
- Stock and organize office and kitchen supplies as needed
- Oversee daily lunch catering for 135+ employees and coordinate monthly company lunches
- Support departmental events by managing logistics, setup, and vendor coordination for weekly or monthly activities
- Track and manage budgets for office operations, events, and vendor programs to ensure cost efficiency and alignment with company goals
- Maintain office common areas, keeping a welcoming and comfortable environment for employees & guests
- Maintain two Company breakrooms, ensuring things are clean and plants are cared for
- Receive, sort & mail correspondence and packages
- Partner with Finance to provide administrative support for the company’s travel program and vendor management
- Support HR activities to include onboarding, personnel files, interview scheduling, etc.
- Act as a catalyst for positive company culture by planning company events, workplace initiatives, ensuring employee satisfaction
Requirements and skills
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant, preferably within a fast-paced startup work environment
- Knowledge of Office Administrator responsibilities, systems, and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands-on experience with office machines (example fax machines and printers)
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with the ability to suggest improvement
The base salary range for this full-time position is $85,000 - $95,000 + bonus + equity + benefits. Our salary ranges are determined by work location, job-related skills, experience, and relevant education or training. The ranges displayed on each job posting reflect the minimum and maximum target for new hire salaries but are subject to change if the leveling of the role is adjusted.
