Description
The Project Manager will lead key organizational initiatives designed to strengthen operational efficiency, data management, and compliance systems across Janus of Santa Cruz. This position will focus on modernizing shared drives, streamlining communication tools, building workflows, and supporting department leads in developing sustainable systems for documentation, tracking, and accountability.
The ideal candidate is highly organized, systems-minded, and collaborative, with strong technical and communication skills.
Key Responsibilities
First 90–120 Days
- Streamline and organize Microsoft Teams channels for improved communication and productivity.
- Assess existing group structures for relevance and utilization; consolidate or create new groups as needed.
- Partner with IT to transition from traditional intranet file storage to ShareDrive-based systems.
- Collaborate with department leads to update shared drives:
- Compliance
- Operations
- Human Resources
- EHR
First 6 Months
- Develop a centralized Policy Library for compliance, including vendor research and implementation recommendations.
- Create and launch a one-stop document management system to streamline storage, retrieval, and audit readiness.
- Analyze the existing CRM framework and determine whether to revitalize or rebuild the system.
- Build workflow management tools to monitor project progress, starting with the Electronic Health Record (EHR) system, ensuring scalability for future organizational projects.
- Train key staff as system owners and master users to sustain project outcomes (e.g., MNTP, Policy Library).
- Establish checkpoints and metrics to monitor progress and promote accountability.
Requirements
Required:
- Bachelor’s degree in Business Administration, Project Management, Information Systems, or related field (or equivalent experience).
- Minimum of 3–5 years of experience in project management, systems implementation, or operations coordination.
- Strong technical proficiency in Microsoft 365 (Teams, SharePoint, OneDrive), CRM systems, and document management tools.
- Proven ability to manage multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills, with experience facilitating cross-departmental collaboration.
Preferred:
- Experience in healthcare, behavioral health, or non-profit environments.
- Familiarity with compliance and audit processes.
- Certification in project management (e.g., PMP, CAPM, or equivalent).
