Job Title: Administrative Assistant – Business Office Support
Location: The Newgrange School
Employment Type: Full-Time, 12-Month Position


Position Overview

The Newgrange School is seeking a detail-oriented and organized Administrative Assistant to support the Business Administrator and Business Office. This role is ideal for someone who enjoys working with numbers, managing records, and providing administrative support in a collaborative school environment. The Administrative Assistant will help ensure the smooth operation of the school’s financial and administrative processes while supporting our mission of serving children with learning disabilities.


Key Responsibilities

  • Assist the Business Administrator and Business Office with daily administrative and financial tasks.
  • Help maintain accurate records related to accounts payable, purchase orders, reimbursements, and vendor files.
  • Prepare and process invoices, track expenses, and ensure proper documentation for all transactions.
  • Support payroll processing by collecting and organizing employee timesheets and related information.
  • Maintain organized files and assist in preparing materials for audits and NJDOE reporting.
  • Communicate effectively with vendors, staff, and administrators regarding financial and administrative matters.
  • Perform general office duties including data entry, filing, scheduling, and correspondence. 
  • Assist with special projects and other duties as assigned by the Business Administrator.
  • Supporting the philosophy and vision of The Newgrange School,
  • Performs all other related duties as assigned.

Requirements

 

Qualifications

  • Associate degree in Business, Accounting, or related field preferred; Bachelor’s degree a plus.  
  • 1–3 years of administrative or bookkeeping experience, preferably in an educational or nonprofit setting.  
  • Proficiency in Microsoft Office Suite (especially Excel); familiarity with accounting software such as QuickBooks is helpful.  
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.  
  • Excellent communication and interpersonal skills.  
  • Ability to maintain confidentiality and professionalism in handling sensitive information.Bachelor’s Degree preferred, 
  • Current New Jersey State Board Certification as needed or required per Administration,
  • NJDOE Fingerprints required
