We are currently looking to add a full-time Project Finance Specialist to our Rochester, NY office. This early career position provides administrative and clerical support to the Finance Department, assisting with day-to-day financial operations, data entry, document management, and internal coordination.

Duties:

  • Open all new proposal and project numbers
  • Set-up New Vendors, including W-9s
  • Manage Consultant Insurance Certificates
  • Manage Firmwide Travel Arrangements (registrations, hotel and transportation bookings and rental car requests)
  • Perform data entry and reconciliation tasks in accounting software (Deltek VantagePoint).
  • Post deposits
  • Organize and maintain digital and physical financial records and files.
  • Coordinate with project managers and other departments to gather financial data.
  • Assist with expense report processing and credit card reconciliations when needed.
  • Schedule meetings, prepare agendas, and take meeting notes for finance-related discussions.
  • Respond to internal inquiries regarding billing, payments, and financial documentation.
  • Support the Finance team with audits, budget tracking, and reporting tasks, including consistent running of accountability reports.
  • Perform general administrative duties such as scanning, filing, and document formatting.
  • Miscellaneous duties as assigned.

Skills:

  • Possess an Associate’s degree or higher in Accounting or Finance
  • 1+ Years of finance or accountaing experience, preferable in the A/E or General Contracting industry
  • Demonstrate excellent verbal and written communication skills, be a proactive learner, maintain attention to detail and be customer focused, and demonstrate excellent time management skills
  • Be a proficient user of Microsoft Office – Especially Excel and Word – experience with and/or aptitude to learn database software 
  • Ability to keep sensitive information and material confidential
  • Ability to sit, stand, stoop while filing, occasionally reach, hand-eye coordination/fine tip manipulation (keyboarding) and lift up to 10 pounds

Base Salary Information: $46,924 - $55,610 (This is an Hourly, Overtime Eligible position) 

The above salary ranges represent a good faith range for incumbents of these positions. Actual offers will be based on experience, education level, and demonstrated skills and will be at the discretion of the employer.
