Summary/Objective 

The Facilities Director is responsible for training and managing the Facilities Maintenance crews for Volunteers of America Northern Rockies’ (VOANR). The director is also responsible for ensuring the VOANR facilities, grounds, and vehicles are maintained to organizational standards. This individual is responsible for approving work orders, maintaining the work order system, and submitting and approving invoices for facility maintenance.

 

Essential Functions

  • Plan, prioritize, assign, supervise, review, and participate in the work of staff responsible for facility and vehicle maintenance
  • Establish schedules and methods for providing facility maintenance services
  • Provide leadership to the Facilities Maintenance crew to ensure VOANR facilities and grounds are kept to high standards
  • Identify property and resource needs, review needs with appropriate management staff, and allocate resources accordingly
  • Work with staff to identify facility needs within programs
  • Provide support to the planning and implementation of facility projects
  • Provide support and input for safety efforts for the organization
  • Oversee the day-to-day operations and completion of facility projects
  • Participate in the preparation and administration of the facility maintenance budget and submit budget recommendations; monitor expenditures; prepare cost estimates for equipment with justifications; monitor budget expenditures
  • Assist when needed to program staff budget recommendations and expenditures
  • Monitor and control supplies and equipment for property and grounds. Order supplies and tools as necessary; prepare documents for equipment procurement
  • Assist in training in facility maintenance and safety methods, procedures, and techniques
  • Establish, perform, and evaluate the preventive maintenance programs for all facilities, equipment, and vehicles
  • Track and maintain all vehicle inspection documents; provide feedback to program staff with vehicle maintenance recommendations and repair procedures
  • Coordinate construction projects, remodeling, and special projects being performed by maintenance staff.
  • Assist in the implementation of safety procedures and practices with new additions to maintenance and administration staff.
  • Assist in all work areas when and where needed.
  • Prepare required reports and maintain appropriate records. Oversee maintenance file system and documents.
  • Supervise and maintain the work order system for maintenance and vehicles to efficiently track work orders, conduct preventative maintenance schedules, and track/optimize equipment and vehicle reliability. Review work orders and vehicle inspections to ensure proper documentation.
  • Organize and submit work orders to ensure proper tracking of repairs and re-occurring problems. Help staff with work order tracking and reporting in the work order system.
  • Research and find information to troubleshoot and maintain vehicles, mechanical, and electrical systems.
  • Inspect work for completeness.
  • Attend meetings regarding property and grounds maintenance, development, and status.
  • Keep the supervisor informed of potential problems or unusual events.

Supervisory Responsibility

This position has supervisory responsibilities and may serve as a coach and mentor for other positions in the organization.

Work Environment

This job operates in a maintenance environment. This role routinely uses power tools and machines and standard office equipment such as laptop computers, photocopiers, and smartphones.

Physical Demands

The physical demands described here represent those that an employee must meet to perform the essential functions of this job successfully.

While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and the ability to adjust focus. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.

Travel

Frequent travel required for program oversight

Required Education, Experience, or Eligibility Qualifications

  • High School Graduate
  • Four years of experience in maintenance, construction, or related fields

 

Preferred Education and Experience

  • Associate degree (or higher) in a related field.
  • Five years of supervisory experience
