Position: Office & Administrative Coordinator 

Location: Coraopolis, Pennsylvania


Overview:  

The Office & Administrative Coordinator plays a key role in ensuring the smooth day-to-day operations of our office. This position supports a welcoming, organized, and efficient workplace by managing office facilities, maintaining supplies, assisting with recruiting efforts, and overseeing administrative functions such as mail distribution and visitor management.

This role is ideal for a highly organized, proactive professional who thrives in a dynamic environment and enjoys supporting both people and processes.


Compensation and benefit details:

  • Full-time exempt salary with full benefits (medical, dental, vision), paid time off, eleven (11) paid holidays, and more beginning day one of employment.
  • 401(k): Matching 5% on the 1st of the month following 90 days of employment offered to both full-time and part-time employees.

Essential Job Functions & Responsibilities:

  

Office & Facilities Management

  • Maintain a clean, organized, and well-functioning      office environment.
  • Manage office supplies, equipment, and vendor      relationships; reorder and restock as needed.
  • Coordinate with building management for maintenance,      repairs, and security access.
  • Monitor conference room schedules and ensure meeting      spaces are prepared and stocked.

Administrative Support

  • Greet and assist visitors, ensuring a professional      and friendly first impression.
  • Handle incoming and outgoing mail, packages, and      deliveries.
  • Support scheduling, travel coordination, and meeting      logistics as needed.
  • Maintain organizational records, digital files, and      administrative documentation.

Recruiting Assistance

  • Partner with HR and hiring managers to schedule      interviews and communicate with candidates.
  • Post job openings and track candidate progress in the      applicant tracking system (ATS).
  • Assist with onboarding logistics, including preparing      new hire materials and coordinating first-day activities.

Requirements

 Qualifications:

  • 2+ years of administrative, office coordination, or HR support experience.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities with professionalism and discretion.
  • Proficiency in Microsoft Office Suite (or Google Workspace); familiarity with HR/recruiting tools is a plus.
     

Working Conditions:

  • Full-time position with possible occasional travel.
  • Ability to work under pressure and meet tight deadlines.
