KEY RESPONSIBILITIES

Payroll Management

  • Collects and verifies employee and timekeeping data
  • Computes gross wages and reviews computed wages to ensure accuracy
  • Processes weekly payroll on a timely and accurate basis and assists in payroll calculations including salaries, benefits, bonuses, garnishments, overtime, taxes, and other applicable deductions
  • Updates payroll information for new hires, transfers, promotions, terminations, and changes to pay rates as needed
  • Serves as liaison with People Operations and department leaders regarding compensation and timekeeping issues.
  • Prepares and maintains accurate records and reports of payroll transactions and ensures proper general ledger coding
  • Stays up-to-date and ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
  • Identifies and recommends updates to payroll software, systems, and procedures
  • Develops best practices to improve efficiency of payroll processes
  • Prepares statistical reports on employee pay, including base and variable compensation; paid time off, disability and leave pay; taxes; withholding, etc.
  • Provides support in tax calculations and filing for employees
  • Oversees the distribution of paychecks, direct deposit programs, or other means of pay
  • Resolves errors and/or responds to inquiries or addressing payroll-related queries and requests from employees
  • Supports year-end reporting (W-2s, 1099s, 1095cs etc.)

EXPENSE REPORTING & REIMBURSEMENTS

  • Reviews and process employee expense reports in accordance with company travel and expense policies
  • Administers corporate credit card program
  • Audits and verifies receipts, expense classifications, and approval workflows.
  • Reconciles company credit card transactions and ensure timely posting to the general ledger.
  • Maintains accurate records of reimbursements and expense allocations.
  • Follows and enforces federal, state, and local laws

ACCOUNTING & REPORTING

  • Reconciles payroll accounts monthly, including wages, taxes, and benefits.
  • Reconciles company credit card transactions and ensure timely posting to the general ledger
  • Analyzes actual vs. budget variances and prepares concise variance reporting
  • Facilitates audits by providing records and documentation to auditors and implements audit recommendations
  • Supports annual budget process
  • Performs other related duties as assigned
  • Identifies and implements process improvements to enhance accuracy and efficiency

ROLE QUALIFICATIONS

EDUCATION & EXPERIENCE

REQUIRED

  • Bachelor’s degree in accounting, Finance, or a related field required
  • 2–4 years of experience in payroll, accounting, or related financial operations
  • Proficiency with payroll systems (e.g., ADP, Paycom, Paylocity, Workday, or similar).
  • Understanding of GAAP, payroll tax laws, and expense reimbursement compliance
  • Familiarity with expense management tools (e.g., Concur, Expensify, or Workday Expense Hub).
  • Proficient with Microsoft Office Suite or related software, with intermediate Excel experience

PREFERRED

  • Experience with detailed knowledge of the Workday Payroll system
  • Experience with and detailed knowledge of the Workday Financial Management system
  • Knowledge of KanTime and relationship to pay administration

WORKING CONDITIONS/EQUIPMENT USE

  • Work is performed indoors in a typical office environment - not substantially exposed to adverse environmental conditions.
  • Valid driver license with proof of insurance
  • Must be able to lift up to fifteen (15) pounds
  • Frequent use of office machines to include computer, telephone, and printer
