Job Title:  Accounts Payable & Accounting Specialist 

Reports To: Controller

Department: Finance

Supervisory Responsibility: No


Position Summary:

The Accounts Payable & Accounting Specialist is responsible for the Accounts Payable accounting cycle and supporting general accounting functions of the organization. This role ensures timely and accurate processing of vendor invoices, reconciliations, journal entries, and reporting, while maintaining compliance with company policies and accounting standards.


Summary of Duties and Responsibilities:  

  • Process vendor invoices and support all Accounts Payable functions within the general ledger.
  • Reconcile vendor statements and promptly resolve any discrepancies.
  • Prepare and post journal entries in the general ledger as needed.
  • Reconcile Accounts Payable aging reports and investigate variances as needed.
  • Prepare check runs and process electronic funds transfers (EFTs) in accordance with company policies and schedules.
  • Provide administrative and accounting support to ensure efficient department operations.
  • Assist in the preparation and analysis of various financial reports, as assigned.
  • Perform other duties and special projects, as assigned.

Requirements

 Education, Prior Work Experience, Special Skill and Knowledge Requirements:  

  • Accounting Knowledge:   Solid proficiency of Accounts Payable cycle and understanding of general accounting functions & principles.
  • Attention to Detail:  Strong accuracy and thoroughness in reviewing vendor invoices, coding transactions, and reconciling accounts.
  • Analytical Skills:   Ability to identify and resolve discrepancies through careful analysis and problem-solving.
  • Technical Proficiency:
    • Proficient in Microsoft Excel and other Microsoft Office applications.
    • Experience with accounting and ERP software systems (e.g., Microsoft Dynamics, Sage, or similar platforms).
    • Familiarity with fixed assets       and other software systems.
  • Organizational Skills: Excellent time management with the ability to prioritize tasks, meet deadlines, and manage multiple responsibilities effectively.
  • Communication Skills: Clear and professional verbal and written communication skills for working with vendors, colleagues, and management.
  • Team Collaboration: Ability to work cooperatively within a team environment and support department goals.
  • Confidentiality: Maintains a high level of discretion when handling sensitive financial or company information.
  • Initiative and Dependability: Demonstrates reliability, accountability, and a proactive approach to assigned duties.
  • Adaptability: Capable of adjusting to changing priorities, systems, and processes in a dynamic work environment. 

  

Preferred Qualifications

  • Associate or bachelor’s degree in accounting, finance, or a related field.
  • Two (2) or more years of experience in Accounts Payable, accounting support, or general ledger functions.
  • Experience working in multi-entity, multi-location and healthcare organizations.
  • Proficiency with accounting and ERP systems (e.g., Microsoft Dynamics GP, Sage Intacct, or similar platforms).
  • Familiarity with fixed asset tracking and other software systems.
  • Working knowledge of Microsoft Excel, including pivot tables and basic formulas.
  • Demonstrated ability to maintain confidentiality and handle sensitive financial information.

Work Environment

The work environment characteristics described here represent those an employee may encounter while performing the essential functions of this job. Remote employee is not applicable to this environment. The noise level in the work environment is usually moderate; lighting is in the standard range.  The employee is subject to infectious waste, potential exposure to allergens in concentrated forms, diseases, and conditions. This role operates primarily in an office environment but may require occasional travel for conferences, meetings, or client interactions.
