About the Department
EMPLOYMENT TERMS: Full-time position
PRIMARY DUTY: This position will be primarily responsible for the office activities for the School of Health Science and Wellness
Position Duties
ESSENTIAL FUNCTIONS:
1. Monitor the School budget and perform budget transactions as assigned by the Chair.
2. Gather and submit ongoing class schedule changes, as approved by the Chair.
3. Collaborate with the Chair to track ongoing teaching assignments for faculty and adjuncts.
4. Design, implement, and maintain effective records, electronic files, spreadsheets essential to departmental operations.
5. Develop spreadsheets for instructional and office equipment requests.
6. Collaborate with the Chair to plan and coordinate events within the school including advisory committee meetings, faculty retreats, faculty candidate interviews, and accreditation visits.
7. Manage student employment and graduate assistant position postings, hiring, and terminations.
8. Supervise student employees assigned to support the academic area.
9. Assist faculty in managing marketing resources, web site content, and social media.
10. Ensure security and confidentiality of records and files.
11. Monitor and maintain office supplies inventory.
12. Report maintenance issues to appropriate personnel.
13. Prepare letters, reports, forms and other materials from notes or rough drafts.
14. Serve as a contact point in the department offices for students and others.
15. Answer routine questions for current and prospective students.
16. Answer and place phone calls.
17. Receive and screen visitors.
18. Perform other duties as assigned.
Minimum Qualifications
REQUIREMENTS:
Education: High school diploma
Experience: Experience with relevant software applications including spreadsheets, word processing, and database management
Skills: Proficiency in spelling, mathematics and grammar; excellent interpersonal skills dealing with students and faculty; proficiency in the use of Adobe Acrobat and Microsoft Teams, Excel, and Word.
Other Qualifications
WORKING CONDITIONS: This position works in an air-conditioned office from the hours of 8:00 a.m. to 5:00 p.m. with a one-hour lunch break
SUPERVISORY RESPONSIBILITIES: The office manager is expected to effectively assist in the supervision of student employees
