• Schedules procedures requested by providers.
• Regulates and maintains patient appointment schedules for Pulmonology and other Special Procedures
• Books procedures based on physician volume maintaining appropriate standard turn-around times.
• Identifies scheduling barriers and implements solutions to improve scheduling results.
• Schedules referrals in a timely manner (within 48 hours of receipt).
• Schedule procedure follow-up appointments as designated by physicians.
• Responsible for scheduling patients into assigned modalities in accordance with scheduling guidelines.
• Collecting and verifying insurance information and obtaining necessary authorizations.
• Schedules patients in a polite, prompt, and helpful manner.
• Performs authorization and referral activities utilizing the Athena system including, updates demographic and insurance information in patient’s account as needed, checks benefits.
• Provides patients with any patient preparation information, instructions, and directions.
• Answers telephones in a pleasant and professional manner, takes messages, and deals with patients’ needs expeditiously.
• Will serve as a backup for Check in, check out, referral coordinator when needed.
• Interacts with patients’, physicians, and other staff both within the Clinic and at outside facilities providing accurate, timely and responsive information.
• Coordinates process and routes all paperwork as required to meet physician and facility requirements.
• Documents work processes as required.
• Follows all written protocols and procedures of the Clinic.
• Must be able to recognize and respond appropriately to urgent/emergent situations per protocols.
• Establish and maintain effective working relationships with physicians, staff, and management.
• Lung nodule case review
• Manage/update tracker list on spreadsheet and outlook calendar.
• Other duties as assigned.
Requirements
• High school diploma or GED.
• Minimum of two to three years related work experience in a medical environment.
• Knowledge of scheduling tasks, office policies/procedures, and proper completion and distribution of required paperwork.
• MA certificate and credential a plus.
• Knowledge of medical terminology.
• Knowledge of medical billing procedures and HMO/PPO insurance programs.
• Excellent phone etiquette and verbal communication skills.
• Strong customer service skills and ability to establish and maintain effective working relationships with other employees, patients and the general public.
• Strong detail orientation.
• Ability to maintain confidentiality of sensitive information.
• Ability to work independently and juggle multiple priorities.
• Ability to communicate clearly and effectively in person and on the telephone to establish and maintain cooperative relationships with patients, families, physicians, staff, and other customers.
• Must be able to accurately type 45 WPM.
• Valid California driver’s license and automobile insurance. Ability to drive to different clinics and run occasional errands.
Physical Requirements/Working Conditions:
• Must be able to work in a climate controlled, office environment.
• Sit for extended periods of time.
• Ability to read and write in order to process paperwork.
• Manual dexterity needed for keyboarding and other repetitive office tasks.
• Vision must be good or corrected to normal to perform normal job duties.
• Hearing must be good to have the ability to understand information to perform job duties.
