What are Trust Fund Positions?
Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. Trust employees are not part of the civil service, nor does trust fund employment lead to Federal status. The salary ranges for trust positions are generally the same as for federal positions and in many cases trust and federal employees work side by side. OVERVIEW

The campaign will provide a foundation for critical research to ensure people and nature thrive together, build unparalleled education programs with families and partners, collect the world’s most precious objects, document the present while reflecting on the past, and reimagine the visitor experience both in-person and online. We are bringing the Smithsonian off the National Mall and across the country through dynamic programming and affiliate partnerships, creating access for all. 

Smithsonian's National Zoo and Conservation Biology Institute includes a 163-acre exhibition complex in the District of Columbia, within the US National Park Service's Rock Creek Park, and a 3,200-acre conservation research facility outside Front Royal, Virginia, contiguous with the Shenandoah National Park and the Appalachian Trail. The Institute’s goals include excellence in animal care, research on endangered species, and education and high-quality visitor experience. 

DUTIES AND RESPONSIBILITIES

The Smithsonian's National Zoo and Conservation Biology Institute seeks a creative and energetic Advancement Associate to join its Membership Team. This position offers an exciting opportunity for the successful candidate to make a significant impact on expanding the scope and scale of the Membership Program. The Advancement Assistant provides customer service to constituents of the Zoo’s Membership Program by responding to and resolving inquiries; ensuring data integrity within membership databases by updating biographical and demographic information, and correspondence; and working with other personnel to ensure correct gift recordation and acknowledgment. The incumbent assists in the development and implementation of strategies to attract and retain members. The individual writes and edits communication in response to inquiries using appropriate grammar, spelling, punctuation, and style. The role reports to the Membership manager.
 
The successful applicant will have at least one year of experience providing customer service to members/donors via email, phone, and/or direct mail; experience using relational databases or CRM software (e.g., Salesforce, Blackbaud Luminate, Ellucian Advance or Tessitura) to manage information, execute email communications, and generate reports is required. Qualified applicants will successfully demonstrate strong communications skills, an ability to successfully manage multiple deadlines, superior organization skills, and a demonstrated ability to work independently. The incumbent will be self-motivated and detail-oriented, accurate and professional always; must be precise, diplomatic, dedicated, and mature as well as flexible and able to work well under pressure. Experience in a large, complex non-profit organization desired. 

Gift Processing
  • Ensures new gifts/payments/pledges are properly recorded by the Office of Advancement. 
  • Coordinates with the Office of the Gift Registrar to resolve discrepancies, to verify that information is current and accurate, and to reconcile records between the unit, the central office, and the Office of the Comptroller and the Treasurer. 
  • The incumbent notifies the supervisor of discrepancies that warrant higher level attention; is responsible for preparing deposit documents for all gifts received and ensuring that all records are properly annotated within advancement records.
Donor Information/Relations
  • Coordinates mailings for invitations and tracks responses, assembles solicitation packages, prepares preliminary drafts of correspondence, etc. 
  • Maintains and updates personal biographical and gift information for program rosters and for use in assessment of constituents’ participation patterns. 
  • Ensures materials are current and makes necessary arrangements for updates.
  • Assist in drafting and proofreading correspondence, presentations, brochures, etc. 
  • Assists with escorting guests as assigned; Assists with logistical preparations for special events including food and beverage service, decor, lighting, sound and music, protocol, seating, invitations, etc.
Data Processing
  • Maintain records of incoming and outstanding gifts/payments/pledges and relevant donor and prospective donor files. 
  • Maintain SI advancement database, including running reports, and conducting base-level research. Update donor and prospective donor biological information in the advancement system.
Administrative Support
  • Compile data for stewardship reports for donors with responsibility for drafting text, recommending graphic design, and providing statistical tables. 
  • Track all correspondence, copies, reports, etc., and follows-up to ensure timely action and replies. 
  • In coordination with staff or supervisor, arranges for meetings, contact participants, assemble correspondence, records, reports, and other materials. 
  • Prepares travel authorizations and vouchers, maintains petty cash, prepares requisitions and small purchase orders, compiles data for budget submissions, etc.
Perform other related duties as assigned.

QUALIFICATION REQUIREMENTS

  • Knowledge of the fundraising program for responding timely and appropriately to requests for information concerning agency programs and services.
  • Skill in producing written information so that the intended audience (i.e. Donor, prospect, etc)understands the material.
  • Skill in establishing and maintaining effective working relationships with people of different background and interests.
  • Knowledge of administrative and management principles and procedures, and evaluative techniques to coordinate functional operations.
  • Ability to communicate effectively orally when communicating to employees at all levels and external audiences when representing the organization at events.
 
Education completed outside the United States must be deemed equivalent to higher education programs of U.S. Institutions by an organization that specializes in the interpretation of foreign educational credentials.
